Senior Practice Administrator
We are seeking an experienced and results-driven Senior Practice Administrator to provide strategic and operational leadership for assigned clinical practices and academic residency programs. The Senior Practice Administrator provides operational leadership for assigned clinical practices and academic residency programs, driving practice performance, provider productivity, patient access, and financial outcomes. This role oversees daily operations, Epic template governance, workforce management, and process improvement initiatives to ensure efficient, high-quality patient care delivery.
The Senior Practice Administrator collaborates closely with physicians, residency leadership, and organizational stakeholders to support residency program operations, optimize clinical workflows, and meet organizational objectives. Additionally, the role is responsible for recruiting, developing, and managing staff, fostering a culture of accountability, professional growth, and operational excellence.
- Partner closely with Executive Leadership, Medical Leadership, and Department Directors to develop and execute operational strategies that support organizational productivity, patient access, quality outcomes, and financial performance goals.
- Provide cross-functional leadership and coordination with Yale Residency Program leadership, residency coordinators, clinical leaders, scheduling teams, and operational departments to ensure seamless program operations and compliance.
- Manage complex Academic and Residency Program operations, including traditional and non-traditional clinical workflows, resident scheduling, continuity clinic management, onboarding, academic-year transitions, and operational readiness planning.
- Oversee provider scheduling, resident template management, clinic flow, educational session coordination, and compliance with residency program requirements and accreditation standards.
- Utilize Epic EMR to build, maintain, and optimize provider templates, scheduling protocols, work queues, recalls, and reporting tools to maximize patient access, provider utilization, and operational efficiency.
- Analyze operational metrics including template utilization, no-show rates, session utilization, recall effectiveness, referral management, scheduling accuracy, appointment cancellations, front-end denials, and patient access performance.
- Develop and implement corrective action plans and operational improvement strategies to address performance gaps and achieve departmental goals.
- Lead performance management initiatives through the development, monitoring, analysis, and reporting of key operational, quality, access, and financial metrics.
- Direct administrative and business operations including front desk functions, scheduling, medical records, billing and collections, payroll preparation, supply management, and other clerical support services.
- Develop, implement, and enforce standardized workflows, policies, procedures, and SOPs to ensure operational consistency, regulatory compliance, and organizational effectiveness.
- Hire, train, coach, and supervise front desk, insurance, and administrative staff, ensuring accountability through performance management and corrective action plans.
- Provide ongoing staff development, training, and mentorship to support operational excellence, patient satisfaction, and regulatory compliance.
- Ensure staff understand job expectations, performance goals, and available resources to achieve desired outcomes.
