Under the direction of the Waiver Services Vice President, the Nursing Coordinator provides administrative and operational support to the nursing department. This role coordinates nursing records, medical documentation, supply requests, and communication to help ensure participants receive timely and consistent services. The Nursing Coordinator also supports nurses and other Waiver Services team members with daily departmental functions.

The ideal candidate is dependable, organized, detail-oriented, and able to manage multiple priorities while maintaining participant confidentiality.

Schedule:

Monday–Friday, 8:00 a.m.–4:00 p.m. (one-hour paid lunch)

Key Responsibilities Nursing Records & Documentation
  • Maintain organized and accurate participant nursing and medical records.
  • File nursing notes, physician orders, medication records, laboratory results, and other medical documentation.
  • Review records for completeness and follow up on missing or incomplete documentation.
  • Maintain confidentiality of participant health information in accordance with HIPAA and organizational requirements.
  • Prepare, copy, scan, and distribute nursing documents as needed.
Medical Appointments & Orders
  • Assist with coordinating participant medical appointments, follow-up visits, and required testing.
  • Track physician orders, referrals, laboratory requests, and other medical recommendations.
  • Communicate appointment information and required follow-up to nurses, managers, direct support staff, and other appropriate team members.
  • Obtain and distribute medical records and appointment documentation as needed.
Medication & Supply Coordination
  • Assist with tracking medication orders, refills, and pharmacy-related documentation.
  • Communicate with pharmacies, medical providers, and staff regarding medication or supply needs.
  • Monitor nursing and medical supply inventory and coordinate approved orders.
  • Maintain accurate documentation of requested, received, and distributed supplies.
Communication & Department Support
  • Answer and route nursing-related calls, messages, and requests to the appropriate team member.
  • Communicate professionally with participants, families, healthcare providers, pharmacies, and Arc staff.
  • Support nurses with scheduling, documentation, correspondence, and general administrative needs.
  • Maintain current participant, provider, and nursing contact information.
  • Assist with departmental reports, audits, and record reviews.
  • Provide general administrative and operational support to the nursing department as assigned.

Education and Experience
  • High school diploma or equivalent required
  • At least three years of administrative experience
  • Experience in a healthcare, nursing, or human services setting preferred
Physical Requirements
  • Ability to sit, stand, bend, and move throughout the office environment
  • Ability to lift and carry light to moderate office materials and supplies
Work Environment
  • Professional central office environment
  • Regular interaction with nursing staff, participants, healthcare providers, pharmacies, and other Arc team members
  • Requires flexibility to meet organizational and operational needs
