- Key Responsibilities
- Manage accounting for unearned sources (contributions, gifts) and coordinate with the Development team to ensure accurate coding and GAAP compliance.
- Prepare and review detailed grant budgets, support cash forecasting, and track carry-over funds for annual and quarterly project budgets.
- Coordinate cash reporting for all revenue streams and provide revenue assumptions for cash flow models.
- Ensure grant-related purchases comply with procurement standards, reviewing purchase orders and equipment acquisitions for proper application.
- Perform post-award activities, including contract/expenditure reviews, variance analysis, and grant closeout functions.
- Assist in preparing financial data for grant application proposals with the Development Department.
- Guide program staff on grant terms, conditions, and compliance, resolving financial reporting issues as needed.
- Prepare and submit required reports to government agencies, ensuring timely and accurate reporting.
- Maintain accurate records of outstanding grants, pledge receivables, and deferred revenue for proper revenue recognition.
- Collaborate with the VP of Development and prospect managers to ensure all grant documentation is organized in Salesforce and other systems.
- Partner with the finance team to produce cash flow, liquidity, and cash position reports for leadership decision-making.
- Support month-end and year-end closings through reconciliations and journal entries.
- Assist with preparing external financial reports for both Federal and Non-Federal grants.
- Maintain audit-ready files in compliance with regulations, including SEFA and SESA reports.
- Provide key directors with updates on project performance, highlighting budget overruns and offering solutions.
- Support program staff with financial data and grant management throughout the grant lifecycle.
- Build collaborative relationships across departments to enhance communication and efficiency.
