Tax Concierge/Administrative Assistant
- Hours: Monday - Friday, 8:30 am
-5:00 pm - Pay Rate: $45,000-$50,000/annually
- Location: Parsippany, NJ
- Experience: 2+ years
SUMMARY:
Our highly organized and detail-oriented Tax Concierge plays a key role in supporting the Professional Staff by assembling tax documents, coordinating the receipt of necessary documents, and managing e-filing processes, and maintaining accurate databases. This position requires effective communication with clients and internal team members to ensure the timely and accurate submission of tax filings and the collection of any missing information.
Key Responsibilities:
Tax Document Management:
- Assemble, organize, and send tax-related documents to clients including tax returns and supporting paperwork.
- Manage the E-filing process by preparing, submitting, and tracking the status of E-filed tax returns and extensions. Follow up with clients for signed 8879 e-Filing authorization forms to ensure timely processing. Recording DCNs to complete client workflows.
- Contact clients to request missing tax documents providing clear instructions and deadlines.
- Manage inquiries and ensure clients are informed throughout the tax process.
- Process and track client invoices, ensuring accuracy and timely payments.
- Call clients for the payment status of past due invoices.
- Application of client payments in both PM and as they come in.
- Assisting clients to obtain their ACH/CC information and entering it into
- Maintain and update databases with accurate client information, tax forms to be filed, and filing statuses. Ensure data integrity and confidentiality.
- Download and save client-provided tax documents from various platforms.
- Scan and securely store client tax documents in the firm's document management system.
- Maintain organized and up-to-date electronic and physical records of tax documents and client communications.
- Proactively monitor pending documents and take appropriate action to secure necessary items. Escalate issues to senior tax professionals when needed.
- Draft and send engagement letters to clients.
- Onboarding of new clients, in all systems, upon receipt of a signed engagement letter and an Onboarding form.
- Creation of XCM workflows as needed for Professional Staff.
- Provide general administrative support to the Professional Staff,
- assisting with scheduling, filing, and other tasks as required.
