Executive Assistant – C-Suite Support

Location:

Position Summary

We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to a senior C‑suite executive. The ideal candidate will be responsible for managing complex calendars, coordinating meetings, handling travel arrangements, and ensuring seamless day‑to‑day administrative support in a fast‑paced global environment.

Key Responsibilities
  • Manage and coordinate the executive's calendar, meetings, and appointments across multiple time zones.
  • Schedule and organize internal and external meetings, including leadership and stakeholder meetings.
  • Coordinate travel arrangements, including flights, accommodations, visas, and itineraries.
  • Prepare meeting agendas, presentations, and other administrative documents as needed.
  • Manage communication and correspondence on behalf of the executive.
  • Coordinate with internal and external stakeholders to ensure timely follow‑ups and action items.
  • Support event planning, leadership meetings, and executive visits.
  • Maintain confidentiality while handling sensitive business information.
  • Assist with expense reports, invoice processing, and other administrative tasks.
Required Qualifications
  • Proven experience supporting senior executives or C‑suite leaders.
  • Excellent verbal and written communication skills in English.
  • Strong calendar management and scheduling experience.
  • Experience coordinating international travel and executive meetings.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and collaboration tools such as Teams.
  • Exceptional organizational skills with strong attention to detail.
  • Ability to manage multiple priorities and work independently in a fast‑paced environment.
Preferred Qualifications
  • Fluency in Spanish (preferred) or other foreign languages.
  • Experience supporting global executives and working across multiple regions and time zones.
  • Experience in multinational or corporate environments.
