Schedule: Monday - Friday, 9:00 AM - 5:00 PM (30-minute lunch)
Pay Rate: $31.26 - $36.67 per hour (Based on Experience)

Position OverviewWe are seeking a Vehicle Fleet Coordinator / Vehicle Administration Specialist to support a high-volume vehicle operations team in Woodcliff Lake, NJ. This position combines vehicle logistics, fleet coordination, customer support, and vehicle title and registration administration.
The ideal candidate will be comfortable working both outdoors and in an office environment, moving vehicles throughout the facility, preparing vehicles for delivery, coordinating vehicle services, and assisting with registration, titling, and license plate processing. This role requires strong attention to detail, organizational skills, and the ability to manage a high volume of vehicle-related documentation.
Required Qualifications- Minimum 2 years of professional work experience
- Valid driver's license with a good driving record
- Proficiency with Microsoft Outlook, Word, and Excel
- Strong organizational and documentation skills
- Ability to work in a fast-paced environment
- Strong customer service and communication skills
- Ability to work fully onsite
- Run daily vehicle locator reports and identify vehicles scheduled for delivery
- Locate and prioritize vehicles requiring processing
- Fuel, wash, vacuum, and prepare vehicles for customer delivery
- Install license plates, identification tags, seat covers, and floor mat protectors
- Coordinate service appointments for vehicles requiring repairs or maintenance before delivery
- Transport vehicles throughout the facility for preparation, service, storage, and delivery
- Operate as a shuttle driver between vehicle storage areas, fueling stations, and car wash facilities
- Maintain vehicle lots in a clean, organized, and efficient manner
- Monitor vehicle inventory and provide status updates on vehicle locations and availability
- Identify and manage aging inventory to maintain vehicle condition and lot organization
- Stage vehicles for customer deliveries and special events
- Perform vehicle return inspections and transfer vehicle contents when necessary
- Replenish vehicle fluids and assist with minor vehicle preparation tasks
- Support VIP customer transportation needs when required
- Assist with vehicle registration, title processing, and license plate administration
- Prepare and process title documents for in-state and out-of-state vehicle transactions
- Complete DMV registration paperwork and vehicle documentation
- Request duplicate titles when necessary
- Maintain Certificates of Origin and related vehicle documentation
- Process transactions through electronic vehicle registration systems and DMV platforms
- Prepare checks for title-related transactions and refunds
- Maintain accurate license plate and title tracking logs
- Monitor registration expiration dates and ensure compliance
- Prepare title packages and documentation for vehicle auctions
- Research and resolve title discrepancies and documentation issues
- Verify VIN numbers, odometer readings, lien releases, and title accuracy
- Maintain knowledge of applicable DMV laws and vehicle registration requirements
- Coordinate vehicle deliveries with customers and internal teams
- Respond to customer inquiries professionally and promptly
- Assist customers and visitors by directing them to appropriate personnel
- Support daily team communication and workflow coordination
- Perform administrative and operational tasks as assigned
- Run business-related errands as needed
- Maintain work areas, driveways, sidewalks, and vehicle preparation facilities
