Job Description

Qualifications:

High School Diploma, possess a working knowledge of PC based computer programs; including knowledge of one or more spreadsheet programs, a word processing program and the ability to use Windows-based programs.

Reports to: Business Administrator/Board Secretary

Supervises: N/A

Job Goal: Provide Administrative Assistant services associated with operating the Financial Portion of the Business Office for the West Deptford School District

Performance Responsibilities:

  • Maintains files on all contracted personnel.
  • Ensures that all employees have been properly approved and that all paperwork has been processed before staff member is paid.
  • Prepares, compiles and processes semi‑monthly payroll information in a timely manner for contracted employees, substitutes and coaches. In addition, processes stipends for co‑curriculars, overloads, leaders, opt‑out and overtime.
  • Completes various salary surveys for State agencies, NJEA and other schools.
  • Processes new employees for payroll purposes.
  • Processes withdrawal and change forms for personnel with the Division of Pensions.
  • Meets with staff members preparing to retire and processes their Final Certification of Salary.
  • Processes Purchase Service Applications for employees wishing to purchase prior service through the Division of Pensions.
  • Performs general Administrative Assistant duties, maintains correspondence and files relating to payroll or personnel originated in this area.
  • Processes any requests for terminated employees.
  • Processes Unemployment paperwork from the State.
  • Assists in figuring out yearly salaries for all staff members.
  • Processes enrollments into the District‑wide insurance plans for medical, prescription and dental.
  • Notifies the District Insurance Broker of employees eligible for COBRA benefits.
  • Sends new applications up to Pensions, making necessary changes/additions/deletions.
  • Coordinates the dissemination of employee information related to a wide range of payroll related matters.
  • Responsible for SEMI Report in coordination with Director of Special Education and Related Services.
  • Assumes other duties and responsibilities incidental of the office or as assigned by the Business Administrator.

Environmental Requirements:

  • Exposure to a variety of childhood and adult diseases and illnesses.
  • Work conditions are typical office environment temperatures of 65 to 80 degrees.
  • Work space has typical conditioned airflow ventilation found in a business office environment.
  • Exposure to a building in which a variety of chemical substances are used for cleaning, instruction, and/or operation of equipment.
  • Function in a workplace that is usually moderately quiet but that can be noisy at times.

Physical Demand Requirements:

  • Must be able to sit for long periods of time at an office desk.
  • Speak and hear.
  • Communicate effectively in English, using proper grammar and vocabulary. American Sign Language or Braille may also be considered as acceptable forms of communication.
  • Reach with hands and arms and use hands and fingers to handle objects and operate tools, computers, and/or controls.
  • Use close vision, color vision, peripheral vision and depth perception along with the ability to focus vision.
  • Heavy computer utilization with ability to observe a computer monitor for hours of the day is required.
  • Minor standing time for copier utilization from time to time.
  • Ability to lift up to 25 lbs. to move office boxes when necessary.

Contract Term:
July 1 st to June 30 th, 12 months
