Location: Mount Laurel
Renewable Energy Administrative Assistant
Provide high-level administrative support to a renewable energy leadership team. Excel in a fast-paced environment requiring multitasking, exceptional organization, attention to detail, professionalism, and sound judgment amid ambiguity. Essential Duties:
- Manage calendars, schedule appointments and meetings.
- Prepare presentation materials for board and other meetings.
- Coordinate travel arrangements including hotel, air, and car reservations.
- Prepare, code, and submit expense reports via Workday in a timely manner.
- Provide office support rel, New Jersey location: order/stock supplies, manage mail, serve as primary point of contact for internal/external stakeholders.
- Coordinate sensitive reports and materials such as budgets, board documents, and highly confidential correspondence.
- Prepare and maintain confidential files, statistical records, correspondence, and office forms.
- Answer and initiate email/telephone inquiries; refer to supervisor or departments as needed.
- Prepare special reports and summaries as required.
- Perform other administrative duties and projects as directed.
Basic
Qualifications and Skills:
- High School Diploma or GED required; formal education beyond secondary level (administrative or business) highly recommended.
- 2-4 years of related experience required.
- Proven experience interacting effectively with executives including corporate officers and directors.
- Demonstrated project management and administrative skills including typing, filing systems, office equipment, and processes.
- Prior experience in a confidential environment with professional demeanor required.
- Knowledge of PC-based applications required:
Outlook, Word, Excel, PowerPoint;
Workday experience preferred. - Strong organizational skills and detail-oriented mindset.
- Experience with board meeting preparation and interaction with Board of Directors.
- Ability to work independently in a fast-paced environment with limited supervision.
- Demonstrated ability to work under time constraints and be available as needed.
