The Membership Coordinator is a key member of the Greater Bergen REALTORS® (G ) team and serves as a primary point of contact for Association members, prospective members, and affiliates. Under the supervision of the Membership Manager, the Membership Coordinator is responsible for delivering exceptional customer service, supporting membership recruitment and retention efforts, maintaining accurate membership records, and assisting with the day-to-day operations of the membership department.

This position plays an integral role in processing membership applications, transfers, renewals, and updates within the Association's membership database while ensuring the accuracy and integrity of member records. The Membership Coordinator responds to member inquiries in a timely and professional manner, assists with onboarding new members, promotes Association programs, products, and services, and supports member engagement initiatives designed to enhance the overall member experience.

The Membership Coordinator provides administrative support for membership-related programs, events, and communications and works collaboratively with staff, volunteers, and stakeholders to support the Association's strategic objectives. This position requires strong organizational skills, attention to detail, the ability to manage multiple priorities, and a commitment to providing outstanding service to members. The ideal candidate is a proactive, solutions-oriented professional with excellent communication and interpersonal skills who thrives in a team environment.

Responsibilities:
  • Understands a member-focused culture. Helps to resolve problems to ensure member satisfaction.
  • Implements Membership strategies that support retention of existing members.
  • Assists members with billing and dues payments.
  • Assists with general membership functions.
  • Promotes programs and membership enrollment in interactions with existing and potential members.
  • Coordinates program registration, including logistics to support phone, walk-in, and web registration.
  • Provides ongoing support to other association programs.
  • Reports to the Membership Manager on all financial items such as deposits, refunds, NJR/NAR reports, billing, etc.
  • Familiar with front desk procedures and able to navigate customer service duties such as greeting members, signing in for events/classes, etc.
  • Assists with registration at association events onsite and offsite G .
  • Assists with setup for events/meetings and re-organizing classes.
  • Maintains records as mandated or requested by NAR and NJR.
  • Completes coordinator training as assigned.
  • Processes new member applications, transfers, and membership-related correspondence.
  • Assists with/Runs membership programs, including but not limited to New Member Orientation, broker compliance, etc.
  • Assists with yearly membership billing to 7,000+ members.
  • Reviews and updates membership database to reflect changes and updates member information.
  • Helps with membership events to promote the Association.
  • Participates in Staff meetings and/or related meetings.
  • Cross collaborates with multiple departments in a timely manner.
  • Staff liaison to assigned Association Committees.
  • Performs other duties as assigned and needed.

  • Must be highly organized, have time management skills, and be able to meet deadlines with a wide degree of attention to detail.
  • A team player who can multi-task, think outside the box, work well under pressure.
Qualifications:
  • 1 to 3 years related experience is preferred.
  • Knowledge in Microsoft Office applications, Outlook, Teams, and Zoom.
  • Exceptional listening skills and patience.
  • Ability to multi-task and successfully solve problems to naturally project a positive, energetic, and professional image.
  • Able to commute to Saddle Brook, NJ for in-person, full-time position and off-site association events.
