Description The Hensle Health Center at The Peddie School is seeking a dedicated individual who is well-suited for a fast-paced environment and is passionate about supporting the health and well-being of our students. This is a part-time role that is responsible for supporting daily operations of the department under supervision of the Director of Health Services. The potential candidate will be responsible for, but not limited to:
Key Responsibilities:- Greet students, parents, and visitors in a friendly and professional manner.
- Perform general administrative tasks such as answering phones, responding to emails, and organizing paperwork.
- Coordinate communication between Health Center staff, students, parents, and school administration as necessary.
- Assist in maintaining electronic medical records with confidentiality and accuracy.
- Schedule various appointments and drives for the students.
- Assist with various non-medical tasks, as needed, during emergency situations.
- Acts as the international insurance liaison to assist the International Student Coordinator/Admission Office and families with international health insurance coverage.
- Coordinates international student health insurance enrollment and health insurance card management, including uploads into the Health Center electronic health record system.
- Serves as the point-person to the health insurance brokerage firm for all current and future coverage plans and their contracts. Communicates directly with Clifford Allen and Associates regarding health insurance claims/EOBs and keep meticulous records on all open and closed such claims/EOBs.
- When necessary, contacts the parent about paying any unpaid provider bills sent to Peddie that have been deemed owed by the student.
- Serves as the student accident/injury liaison to monitor, track and connect families with Bollinger insurance company.
- Coordinates the tracking and management of expiring health documentation throughout the year and communicates regularly with families and the Athletics Department to ensure the health and safety of the students.
- Acts as the coordinator of all on-campus physical therapy needs between the students and their families and Atlantic Physical Therapy.
- Manages and organizes all of the record-keeping for the Health Center Department budgeted expenses, student transportation compensation, and pharmaceutical records and receipts for student medication charges.
- Manages all off-campus drives, including preparing Driver Vouchers daily for signatures & time in/out as well as maintaining a detailed spreadsheet for all drives, keeping accurate record of driver, compensation, and type of drive (personal or sports related).
- Reconciles the drive vouchers at the end of each pay period and prepare/maintain a spreadsheet communication to share with the Business Office to pass along charges and pay for any appropriate mileage reimbursement and to ensure that the drivers are paid appropriately.
- Creates and maintain a meticulous spreadsheet for all student prescriptions received and sends records and charges to the Business Office to process for payment for all outside vendors.
- Keeps a budget spreadsheet of all purchases on the department's credit card, allocation to appropriate accounts
- Assists the Director on a monthly basis to reconcile and complete disbursement form to pay the monthly invoice
- Assists and contributes to the weekly meetings as needed between the Health Center and the Athletic Training staff.
- Coordinates various communications and appointments between the Health Center and the Counseling and Psychological Services (CAPS) office.
- Keeps the ever-changing list of student injury/illness restrictions updated throughout the year to reflect changes in students' activities.
- Keeps and prepare minutes for all staff meetings held throughout the school year.
- Orders Department supplies as needed.
- Places facilities requests for any building repairs needed.
- Assists in maintaining daily absence records for the Dean's Office when needed.
- Assists in compilation of data at year end for analysis purposes.
AND OTHER DUTIES AS ASSIGNED BY DIRECTOR OF HEALTH SERVICES
Qualifications:- High school diploma or equivalent; additional qualification as a medical assistant or in healthcare administration would be ideal.
- Strong interpersonal and communication skills.
- Proven experience in an administrative role, preferably in a healthcare or an educational setting.
- Excellent organizational and multitasking skills with attention to detail.
- Proficient in Google applications (Sheets, Doc, Slides) and Microsoft Office (Word, Excel, Power Point).
- Have familiarity with electronic health records.
Salary Range: $27.00 - $30.00 per hour, commensurate with experience.
