Clinic Receptionist

JOB SUMMARY:

The Clinic Receptionist provides essential front-desk and administrative support to ensure the smooth operation of the clinic. Serving as the first point of contact for participants, this role is responsible for greeting and assisting participants, scheduling appointments, managing phone calls, and maintaining accurate records. The Clinic Receptionist plays a key role in ensuring participants receive timely services and accurate information while supporting the clinic staff with administrative tasks.

This position requires excellent organizational, communication, and customer service skills to create a welcoming and professional environment for all.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Greet participants, families, visitors, and staff with a professional and welcoming demeanor.
  • Answer incoming calls promptly, route them appropriately, and provide accurate information to inquiries.
  • Assist with setting up and cleaning exam rooms as needed.
  • Maintain and complete assigned clinic logs.
  • Obtain ordered labs, perform EKG, administer medications and immunizations on as needed basis (if CMA).
  • May assist with obtaining medical records from outside consultants, hospitals, health care facilities and previous health care providers
  • Schedule clinic appointments for participants and coordinate with the interdisciplinary team (IDT) to ensure services are delivered efficiently.
  • Maintain and update appointment clinic calendars to ensure all schedules align with clinic operations.
  • Accurately record and update participant information in the electronic medical record (EMR) system while adhering to HIPAA and privacy standards.
  • Prepare and distribute necessary forms, correspondence, and reports to support clinic activities.
  • Assist the clinic team with administrative tasks, including overseeing linen and medical supply ordering and management.
  • Monitor and restock front-desk materials and ensure a clean and organized reception area.
  • Address participant and family need with empathy, providing information and support to ensure a positive experience.
  • Escalate concerns or issues to the appropriate team members in a timely manner to ensure resolution.
  • Work closely with the clinic staff and IDT to coordinate participant care and clinic operations.
  • Participate in quality improvement initiatives and provide input to improve front-desk processes and participant experience.
  • Follow organizational policies and procedures, ensuring compliance with all regulatory standards.
  • Protect participant privacy by safeguarding sensitive information and maintaining confidentiality.
  • Identify opportunities to enhance clinic operations and participant satisfaction.
  • Participate in training and professional development opportunities to refine skills.
EXPERIENCE AND

EDUCATION:
  • High school diploma or equivalent (Required)
  • Experience managing multi-line phone systems and handling sensitive or confidential information is desirable.
  • 1 year of experience working with a frail or elderly population preferred. If this is not present, training will be provided upon hiring (If applicable for the role).
