Description
A busy and growing company in the Morristown area is seeking a highly organized Executive Assistant / Personal Assistant to provide comprehensive support to a senior executive. This Executive Assistant / Personal Assistant position is a blended role combining traditional executive support with personal assistant responsibilities, requiring someone who is comfortable managing both business priorities and personal tasks such as scheduling family appointments, coordinating household needs, making reservations, ordering lunches, and handling occasional errands.
The ideal Executive Assistant / Personal Assistant will be highly organized, discreet, proactive, and comfortable wearing multiple hats. This Executive Assistant / Personal Assistant will serve as a trusted partner to the executive, anticipating needs, managing competing priorities, and ensuring both professional and personal responsibilities are handled efficiently and seamlessly. Other responsibilities of this Executive Assistant / Personal Assistant role will include but not be limited to:
Executive Assistant / Personal Assistant Responsibilities:
+ Provide day-to-day executive and personal support, balancing business responsibilities with personal and family-related tasks.
+ Manage a complex calendar, including business meetings, personal appointments, family schedules, and travel arrangements.
+ Coordinate personal appointments and activities, including children's appointments, school-related scheduling, and other family commitments.
+ Handle personal errands and requests such as ordering lunches, making reservations, purchasing items, coordinating deliveries, and scheduling household services.
+ Coordinate with household vendors, service providers, and other external contacts as needed.
+ Arrange business and personal travel, including transportation, accommodations, itineraries, and reservations.
+ Prepare meeting materials, agendas, presentations, reports, and other documents for the executive.
+ Manage confidential business and personal information with a high level of discretion and professionalism.
+ Process expense reports, invoices, receipts, and other administrative/financial items.
+ Act as a liaison between the executive and internal teams, clients, vendors, and other external contacts.
+ Manage multiple projects and priorities simultaneously, ensuring deadlines and commitments are met.
+ Anticipate the executive's needs and proactively identify scheduling conflicts or issues before they arise.
+ Provide general administrative support and take ownership of tasks from start to finish.
+ Maintain a high level of professionalism, flexibility, confidentiality, and attention to detail at all times.

Requirements - Minimum of 7 years of experience as an Executive Assistant or in a similar role.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint; familiarity with Google Workspace is advantageous.
- Exceptional organizational and time management skills.
- Strong verbal and written communication abilities.
- Demonstrated ability to handle sensitive and confidential information with discretion.
- Flexible and able to adapt to rapidly changing priorities.
- Detail-oriented and capable of working independently with minimal supervision.
