EXECUTIVE ASSISTANT TO THE EXECUTIVE DIRECTOR Bayonne Economic Opportunity Foundation (BEOF) Part-Time Position Monday-Friday | 10:00 AM-2:00 PM Hourly Rate: $31.25

The Bayonne Economic Opportunity Foundation (BEOF) is seeking a highly organized, professional, dependable, and proactive Executive Assistant to the Executive Director. This position will report directly to and work closely with the Executive Director, providing high-level administrative, scheduling, communication, and organizational support. The Executive Assistant will play an important role in helping the Executive Director manage daily priorities, meetings, correspondence, deadlines, organizational initiatives, and relationships with community partners and federal, state, county, and local government representatives.

The ideal candidate must be able to work independently, anticipate needs, maintain confidentiality, manage multiple priorities, and ensure that important assignments and deadlines remain on schedule.

  • Provide direct administrative and executive support to the Executive Director.
  • Review, organize, prioritize, and assist with the management of the Executive Director's emails and correspondence.
  • Manage and coordinate the Executive Director's calendar, appointments, meetings, conference calls, and other commitments.
  • Monitor important schedules, deadlines, follow-up items, and organizational timelines.
  • Proactively remind and prepare the Executive Director for upcoming meetings, deadlines, events, and commitments.
  • Coordinate meetings and communications with federal, state, county, and local government agencies and representatives.
  • Assist with meetings involving community organizations, funders, Board members, business partners, consultants, and other stakeholders.
  • Prepare agendas, correspondence, reports, presentations, meeting materials, and other supporting documentation as needed.
  • Attend meetings with the Executive Director when requested and assist with meeting notes, action items, documentation, and follow-up.
  • Coordinate with BEOF management and staff regarding important matters requiring the Executive Director's attention.
  • Track assignments and follow-up items to help ensure projects and organizational priorities remain on schedule.
  • Assist with fundraising activities, community events, special events, and other BEOF initiatives.
  • Assist the Executive Director with special projects and time-sensitive organizational matters.
  • Maintain organized electronic and physical records for the Executive Office.
  • Communicate professionally with staff, Board members, government officials, community partners, vendors, and members of the public.
  • Handle confidential and sensitive information with a high level of professionalism and discretion.
  • Perform other duties and special assignments as directed by the Executive Director.
Qualifications
  • Bachelor's degree from an accredited college or university preferred.
  • Previous experience as an Executive Assistant, Administrative Assistant, or in a similar professional support position strongly preferred.
  • Experience working within a nonprofit, government, community-based organization, or executive office environment is a plus.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and ability to maintain accurate records.
  • Ability to manage multiple assignments, priorities, schedules, and deadlines simultaneously.
  • Strong computer skills, including Microsoft Office, email, electronic calendars, and document preparation.
  • Ability to work independently and anticipate the needs of the Executive Director.
  • Ability to communicate professionally with individuals at all levels of an organization and with external stakeholders.
  • Strong interpersonal and problem-solving skills.
  • Must demonstrate professionalism, reliability, sound judgment, discretion, and the ability to maintain strict confidentiality.
Schedule & Compensation

Position:
Part-Time Executive Assistant to the Executive Director

Schedule:

Monday through Friday, 10:00 AM-2:00 PM Compensation: $31.25 per hour. This position is initially part-time with the potential to transition into a full-time position in the future, based on organizational needs and job performance.
