Role Description

The Patient/Treatment Coordinator is a full-time, on‑site position based in Montvale and River Vale, NJ. This role focuses on guiding patients through their treatment journey by explaining recommended procedures, presenting treatment plans, and answering questions in a clear and reassuring manner. Daily responsibilities include coordinating appointments, managing scheduling and follow‑ups, verifying insurance benefits, preparing financial estimates, and assisting patients with payment options.

The coordinator works closely with dentists, hygienists, and front desk staff to ensure accurate treatment information, smooth patient flow, and an outstanding patient experience from check‑in to check‑out. The role also involves maintaining detailed records, handling phone and email inquiries, and supporting a welcoming, professional atmosphere that reflects the clinic’s high standards of care.

Qualifications
  • Strong Treatment Planning skills, including the ability to present and coordinate dental treatment plans clearly and accurately.
  • Knowledge of Insurance processes, such as verifying benefits, understanding coverage limitations, and assisting patients with claims and pre‑authorizations.
  • Excellent Customer Service capabilities, with a focus on empathy, patience, and creating a positive, comfortable experience for every patient.
  • Effective Communication skills, both verbal and written, to interact professionally with patients, clinicians, and team members.
  • Basic understanding of Dental Care terminology and procedures to support accurate scheduling and patient education.
  • Prior experience in a dental or medical office setting, particularly in treatment coordination or front desk administration, preferred.
  • Strong organizational and time‑management skills, with attention to detail and the ability to manage multiple tasks in a busy clinical environment.
  • Proficiency with dental practice management software and general computer applications (e.g., scheduling systems, email, electronic records).
  • Bachelor degree required; additional coursework or certification in dental administration or healthcare office management is a plus.
