Role Description

The Patient/Treatment Coordinator is a full-time, on-site role based at our Montvale, NJ office. This position manages the patient experience from initial contact through treatment completion, including greeting patients, checking them in and out, and ensuring a smooth flow between front desk and clinical teams. Daily responsibilities include reviewing and presenting treatment plans, explaining recommended procedures, and answering questions to support informed patient decisions.

The coordinator verifies insurance benefits, provides cost estimates, schedules appointments, and follows up on pending treatments to maintain high case acceptance. Additional tasks include maintaining accurate patient records, coordinating referrals when needed, handling phone and email inquiries, and collaborating closely with dentists and staff to ensure a positive, efficient, and stress-free visit for every patient.

Qualifications
  • Experience in patient coordination, treatment planning, or front desk administration in a dental or medical setting.
  • Strong communication and interpersonal skills, with the ability to explain clinical information clearly and build trust with patients.
  • Proficiency with dental practice management software, electronic records, and standard office tools (e.g., scheduling systems, email, spreadsheets).
  • Knowledge of dental terminology, procedures, and insurance verification, including benefits, copays, and pre-authorizations.
  • Excellent organizational and time-management abilities, with attention to detail and accuracy in documentation.
  • Customer service mindset focused on patient satisfaction, empathy, and maintaining a professional, welcoming demeanor.
  • Ability to work collaboratively in a fast-paced, multi-specialty practice and adapt to evolving processes and technology.
  • High school diploma or equivalent required; additional coursework or certification in dental assisting, healthcare administration, or related fields is preferred.
  • Prior experience in a premium or multi-specialty dental practice is a plus.
