The Backstage Team is responsible for coordinating all aspects of the backstage area. Responsibilities for the Backstage Team will vary based on the event. They must build a relationship with all event attendees by being fair, organized, and fun. It is the responsibility of the Backstage Team to keep the show running as smoothly as possible at all times. The Backstage Team is who our clients have the most contact with during the event, hence the importance of developing meaningful relationships with the dancers/studios, conversing with them & most importantly, having fun with the dancer's backstage.
It is also the entire Backstage Teams' job to develop relationships with all the teachers, studio directors & prop handlers, and help accommodate special requests, ease nerves, & answer questions.
The Backstage Team is responsible for the set-up and breakdown of the stage and backstage area, which may include a Marley floor, backdrop, awards, lights, etc. Once dancers are in the building, the Backstage Team should go into the dressing room to introduce themselves, get familiar with the studio directors, and make any important announcements. During the show, the Backstage Team is responsible for going to and from the dressing room/common areas to get dancers lined up, check in dancers, communicate with all necessary team members, and keep the show running smoothly and on time.
They are also responsible for keeping the backstage area clear of any extra people, as well as keeping the stage clear of debris. During the show, the Backstage Team will work closely with studio directors, dancers, and prop-handlers to keep props organized. The Backstage Team is also responsible for setting up and organizing awards at events, as well as passing out awards on stage during the awards ceremonies.
Responsibilities of this position include:
- Assist with event set-up and breakdown, including laying a Marley floor, hanging a backdrop, lighting, awards areas, and backstage organization etc.
- Welcome and assist dancers, studio directors, teachers, and other attendees throughout the event.
- Ensure all attendees are treated with professionalism, fairness, and positivity.
- Maintain organization and communication between backstage areas, dressing rooms, prop handlers, and event directors.
- Must have a clear presence backstage and have the ability to be on your feet for long periods of time and move about the backstage and common areas efficiently.
- Ensure dancers are checked in backstage and prepared to perform on time.
- Help keep backstage areas safe, clean, and free of debris or unnecessary traffic.
- Communicate with event director and studios to support smooth transitions throughout the event.
- Maintain good communication with team via multiple communication channels via software on iPad, headset, and slack.
- Prepare physical awards and organize awards table paperwork, including the labeling and bagging of all awards, pins, medals, trophies, plaques and related materials.
- Onstage during awards ceremonies for awards distribution and ensuring all items are handed out correctly.
- Restock and organize awards stations and backstage supplies throughout the weekend.
- Assist with inventory tracking and reporting for event materials and supplies.
- Attend all mandatory trainings and team meetings.
- Follow all company policies and procedures outlined in the employee handbook.
- Adhere to any additional duties assigned by the event director or designee.
