Responsibilities
  • Coordinates and provides administrative support for the medical students and Physician Assistants (PA) Program.
  • Serves as a liaison between the medical center, medical school, students, faculty, and staff.
  • Plans and organizes general orientation for students and ensures departmental policies are distributed and explained to all incoming students.
  • Prepares and maintains files and master lists for medical students.
  • Ensures all materials and evaluations are maintained and stored in individual confidential files.
  • Coordinates all elective requests, obtains preceptor approval, prepares and maintains tracking of all scheduled electives, and coordinates monthly elective check‑in/orientation and check‑out.
  • Assists Academic Affairs with preparing financial invoicing documentation.
  • Coordinates and takes meeting minutes for monthly medical education meetings; monitors follow‑up on action items from meetings.
  • Maintains and records all required vaccination records and PPDs for all medical students, including Fit Testing.
  • Coordinates open communication with medical students and faculty to provide support and guidance on various levels.
  • Oversees inventory of all materials necessary for medical students and residents to complete rotations (i.e., pagers, meal cards, on‑call room keys).
  • Assists in preparation of the monthly lists of all incoming residents based on 20 yearly rotation schedules.
  • Prepares and distributes all monetary changes for meal cards to dietary.
  • Coordinates EPIC training for all students and ensures that all students are active in all computer systems as required by the medical center.
  • Informs Security of all house staff changes for additions and removals to the Security Access Systems.
  • Answers phones, orders supplies, and assists in all other office duties as needed.
  • May assist in maintaining special fund records for grants for continuing medical education.
  • Assists at departmental events.
  • Performs administrative functions and other duties as required.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.
Qualifications

Education,

Knowledge, Skills and Abilities Required:

  • Bachelor’s degree preferred, and/or three to five years’ experience working in medical education administration.
  • Excellent written and verbal communication skills.
  • Ability to organize information.
  • Ability to handle sensitive information with absolute confidentiality.
  • Working knowledge of software applications including Microsoft Word, Excel, PowerPoint, and/or Google Platform.
  • Ability to make decisions independently or to escalate issues as needed.
  • Proficient computer skills including but not limited to Microsoft Office and Google Suite platforms.
Preferred Qualifications
  • Minimum of three to five years’ experience working in healthcare, education, corporate office or related environment.
  • Experience working with Medical Education.
  • Use or learn a range of position‑related software applications required.
Compensation

Minimum rate of $60,174.40 annually.
