Description
This position supports the documentation and management of patient medical records, ensuring accurate and timely completion of charting, order entry, guest relations, and supply maintenance, while maintaining effective communication among nursing staff, physicians, and ancillary departments.
Responsibilities- Departmental Administrative Support
- Consistently performs clerical duties with little or no supervision.
- Displays resourcefulness in the completion of daily tasks and special projects.
- Provides clerical support as needed to facilitate the smooth operation of the unit.
- Processes payroll accordingly.
- Maintains a clean, safe, and ergonomic environment; maintains equipment and reports malfunctioning items, ordering service as necessary.
- Removes extra equipment and supplies.
- Reports broken equipment or furniture to the appropriate department for repair.
- Cooperates with reassignments in the interest of patient care, adapts work schedule to meet unit needs, and ensures adequate staffing by willingness to float.
- Order Entry
- Enters orders for ancillary departments such as Lab, X‑Ray, EKG, and Diet as noted on the patient’s chart.
- Proficient in computer usage relative to all guest/patient transactions.
- Coordinates activities with minimal delay or disruption of service; selects patients correctly.
- Cancels orders.
- Displays results successfully.
- Prints selected data and lists correctly.
- Guest Relations
- Directs internal and external customers in the desk area to their proper destination.
- Interacts with all guests, coworkers, and other departments courteously and efficiently.
- Shows good judgment and independent thinking.
- Acknowledges individuals that enter the work area.
- Identifies ways to assist the individual.
- Provides assistance with directions.
- Assists with finding resources in the patient care area.
- Patient Chart Preparation and Maintenance
- Prepares patient chart upon admission/visit and maintains chart appropriately (Admission, Transfer, Discharge, Pre‑operative, Post‑operative).
- Files materials as requested in patient charts (e.g., care plans, lab reports); thins charts according to established time frames and procedures.
- Organizes, checks for completeness, and flags accordingly.
- Forwards final chart to Medical Records or copies chart as requested and forwards to appropriate personnel.
- Charts are disassembled and sent to Medical Records within 24 hours.
- Maintains accurate patient census
- Demonstrates timely updating of patient information into the computer system.
- Accepts transfers and admissions.
- Calls Admitting.
- Updates census board.
- Communicates with the staffing office.
- Supply Maintenance
- All shifts are responsible for ordering and maintaining supplies for adequate availability to staff and guests/patients.
- Orders supplies within established limitations and guidelines.
- Nurse’s station is consistently well stocked; identifies forms and supply items needed in the patient care area.
- Verifies the amount of supplies available for use.
- Prepares requisitions for replacement supplies.
- Verifies that supplies received are the same as those ordered.
- Restocks the supply areas when received.
- Other duties and/or projects as assigned.
- Adheres to HMH Organizational competencies and standards of behavior.
- High School diploma, GED, or equivalent.
- Successful completion of the Hackensack Meridian Health Monitor Tech exam within 90 days of hire.
- Excellent written and verbal communication skills.
- Proficient computer skills, including Google Suite and/or Microsoft Office platforms.
- Nursing Unit Secretary and/or Monitor Tech experience.
- Knowledge of basic anatomy and physiology of the heart.
- BLS AHA Basic Health Care Life Support (HCP) Certification.
Minimum hourly rate of $21.15. The posted rate of pay is a rough estimate of the minimum base pay for this role. Comprehensive benefits include health, dental, vision, paid leave, tuition reimbursement, and retirement benefits.
