Front Desk Associate (Part-Time)

Harmony Day Spa (HDS) is an award-winning boutique day spa in Caldwell, NJ, proudly serving our community since 2003. As we expand from four to five treatment rooms, we're looking for a warm, organized, and dependable Front Desk Associate who is passionate about providing exceptional customer service.

This is a year-round, part-time position (not a seasonal or summer role). Please note that we are not working with recruiters or staffing agencies at this time.

Our front desk team sets the tone for every guest experience. If you enjoy helping people, thrive in a fast-paced environment, and take pride in staying organized and solving problems, we'd love to meet you.

Responsibilities
  • Welcome every guest with warmth, professionalism, and genuine hospitality
  • Answer incoming phone calls and respond to emails professionally and promptly
  • Schedule, confirm, and modify appointments using our booking software
  • Check guests in and out efficiently while processing payments and gratuities accurately
  • Recommend retail products, memberships, and spa services when appropriate
  • Maintain accurate client records and electronic documentation
  • Assist with daily opening and closing procedures
  • Keep the reception, retail, and waiting areas clean, organized, and presentation-ready
  • Receive and organize deliveries, mail, and office supplies
  • Support the team with administrative and clerical tasks as needed
  • Collaborate with therapists and estheticians to create an exceptional guest experience
Qualifications
  • High school diploma or equivalent
  • Previous customer service, hospitality, retail, medical office, or spa experience preferred
  • Outstanding verbal and written communication skills
  • Strong organizational skills with exceptional attention to detail
  • Comfortable learning scheduling software and computer applications
  • Ability to multitask and remain calm in a busy environment
  • Professional appearance and positive, team-oriented attitude
  • Reliable, punctual, and committed to delivering outstanding guest service
  • Available to work flexible shifts, including one weekend day 9-5, non negotiable
