Smyth Industries is currently searching for an individual with experience as a Receptionist/Office Assistant to help enhance our current team. We provide full-service electrical, civil, manufacturing, engineering and general contracting services for the water and reclamation industry.

Scope

Scope: Under general supervision, the Receptionist/Office Assistant supports basic office operations by performing front‑desk duties and routine administrative tasks. This position assists with answering phones, greeting visitors, organizing documents, and helping staff with simple clerical needs. The role promotes professionalism, organization, and customer service within the office. This position supports Smyth Industries’ commitment to safety, quality, innovation, and operational excellence.

Essential Duties and Responsibilities
  • Front Desk & Communication:
    Greet visitors and direct them to appropriate staff;
    Answer, screen, and route incoming phone calls;
    Take and deliver accurate messages;
    Provide basic information to callers and guests.
  • Administrative Support:
    Assist with filing, scanning, copying, and organizing documents;
    Support managers and team members with routine administrative tasks;
    Assist with assembling manuals, binders, and reports as needed.
  • Database & Calendar Management:
    Update meeting room calendars, contact lists, and department spreadsheets;
    Maintain basic databases or logs with accuracy.
  • Meetings & Events:
    Help schedule meetings and reserve rooms;
    Assist with arranging catering;
    Distribute meeting materials as needed.
  • Office Supplies & Mail:
    Order and restock office supplies when requested;
    Assist with incoming and outgoing mail;
    Coordinate courier services.
  • Field–Office Coordination:
    Help relay messages and information between field employees and office staff;
    Assist with general communication needs.
Minimum Qualifications
  • High school diploma or GED
  • Basic computer and typing skills
  • Strong communication and customer service skills
  • Reliable, professional, and organized
  • Attention to detail
  • Ability to follow instructions and manage simple tasks
  • Valid driver's license, pass MVR and drug screening
  • Lift/carry up to 50 lbs
Preferred Qualifications
  • Associate or bachelor’s degree in accounting, finance, or business administration
  • Prior experience as a receptionist or office assistant
  • Familiarity with Microsoft Office (Word, Excel, Outlook)
  • Basic knowledge of filing and document management
  • Ability to learn project‑related paperwork processes
  • Bilingual (English/Spanish)
