Position Title: Administrative Assistant of Curriculum and Instructional Technology
Report To: Assistant Superintendent
Benefits- Starting Salary: $68,328

I. Executive Administrative & Committee Support
- Executive Support:
Provide comprehensive support to the Assistant Superintendent, including managing complex calendars, prioritizing departmental workflows, and overseeing meeting logistics (agendas, catering, technology setup, and post-meeting teardown). - Committee Secretary Serve as the Executive Secretary for all Curriculum, Instruction, and Technology committee meetings. Ensure meticulous record-keeping and proactive follow-up on all action items.
- Professional Development Management:
Facilitate the "New Lenox University" (NLU) and "Create Your Own Edventure" programs. This includes managing presenter logistics, registrations, facility assignments, payments, and ordering materials. - PD+ Compliance:
Create and manage "Evidence of Completion" for staff development using the state PD+ program. - District Calendar Coordination:
Maintain the Official District Public Calendar, coordinating high-level scheduling for assessments, staff meetings, and student events (e.g., music programs).
II. Assessment Logistics & Data Management
- Testing Operations:
Coordinate the operational logistics for District and State assessments, including report cards, distribution of materials, and data collection for aimsweb
Plus, IAR, Terra Nova, ACCESS, ISA, and Fitness Gram. - Instructional Datasets:
Maintain and update critical instructional tools, including GATE Matrices, MTSS dashboards, and the Teacher Curriculum Expectation Packet. - State Reporting:
Assist with the administration of the Essentials Survey and other mandated reporting, including Title Grants and English Language Learners (EL) screening protocols.
III. Fiscal Operations & Resource Procurement
- Budget Administration:
Manage departmental budgets for Curriculum, Library, Music, and Technology, as well as State and Federal grants. Tasks include processing purchase orders, invoices, and P-card reconciliations. - Material Lifecycle Management:
Oversee the inventory, ordering, and distribution of K‑8 textbooks (physical and digital), consumables, and software licensing. - Grant Compliance:
Maintain organized files for Title and Library Grants, ensuring all documentation is "audit‑ready" for state compliance reviews.
IV. Staff & Teacher Liaison
- Support Staff Oversight:
Assist in managing technology support staff by screening resumes, proofreading evaluations, and tracking attendance/time‑off requests. - Serve as a resource to building secretaries. Provide guidance and training on district procedures and programs.
- Specialized Personnel Logistics:
Coordinate the district Tutor List and organize schedules for intervention paraprofessionals. - Compliance Monitoring:
Ensure all professional development paperwork and evidence of completion for general education teachers are filed according to district and state regulations.
V. Communications & Community Relations
- Digital Presence:
Lead departmental communication by updating the district website and managing the "Virtual Backpack." - Public Information:
Draft and distribute high-priority messages regarding curriculum updates, E‑Learning plans, and district initiatives. - Recognition Programs:
Coordinate the Board New Lenox Notables recognition program.
VI. Compliance & Student Services
- Regulatory Adherence:
Maintain English Learner (EL) files, Student Technology Handbooks, and Bullying/AUP documentation. - Confidential Reporting:
