Location: New London, Connecticut (on-site)
The Executive Assistant provides high-level administrative and coordination support to museum leadership through the Contractor Program Manager. The role organizes calendars, correspondence, meeting materials, records, travel support, and discrete administrative projects while preserving the non-personal-services relationship.
Coordinate a high-volume executive calendar, resolve scheduling conflicts, and prepare meeting agendas, biographies, background materials, and approved talking points.
Organize incoming correspondence, prepare draft responses within approved authority, and elevate matters requiring Government action.
Support information flow among museum leadership, Government offices, the Contractor Program Manager, and authorized stakeholders without independently directing Federal personnel.
Track milestones, decisions, dependencies, and action items for executive initiatives, events, staff meetings, and annual-report support.
Prepare travel and expense-support documentation and maintain supporting records in accordance with Government and Contractor procedures.
Handle sensitive schedules, official correspondence, procurement-sensitive information, and protected records with discretion.
Minimum Qualifications- Bachelor degree in arts administration, business, communications, public administration, or a related field.
- Five or more years supporting senior executives, preferably in a federal, nonprofit, cultural, academic, or public-service setting.
- Advanced Microsoft 365 proficiency, including Outlook, Word, PowerPoint, Teams, and records-management or collaboration systems.
- Demonstrated discretion with sensitive calendars, personnel information, and protected records.
- Executive-office workflow, official correspondence, meeting records, action tracking, and records-management experience.
- Protocol-sensitive event, visitor itinerary, or official travel coordination involving senior Government, military, or community leaders.
- Ability to prepare concise briefing packages, biographies, agendas, and background materials from approved sources.
