About the Job

The Accounting Assistant is responsible for applying accounting principles to prepare financial documents and reports, ensuring appropriate control procedures are utilized. The role combines calculating, posting, and verifying duties to obtain accurate financial data for maintaining accounting records. Responsibilities also include compiling and sorting documents such as invoices and checks, substantiating business transactions, maintaining a rebill/denial log, and assisting in monthly closing procedures and cash posting analysis.

Responsibilities
  • Post payments to client accounts accurately and in a timely manner.
  • Scan, post, and balance all electronic and lockbox payments for insurance and client accounts daily.
  • Maintain and document follow-up notes and denials, updating the rebill/denial log daily using EOB/EFT.
  • Identify and report payer payment and recoupment trends and network issues to the designated client account representative.
  • Assist the insurance specialist with payment posting queries.
  • Maintain cash posting files and monthly reconciliation spreadsheets for payments received and posted.
  • Manage accounts payable processes, including vendor relations, check disbursements, 1099 status, and filing.
  • Key vendor invoices into the company computer system and sort, code, and match invoices.
  • Verify and process invoices, printing checks for approved vendors and employees.
  • Assist in preparing facility month and year‑end reporting, statistical reports, budgets, and financial reports.
  • Work with insurance companies to verify outstanding claims, authorizations, dispute denials, and reprocess claims as needed.
  • Assist with payroll functions, including processing bi‑weekly payroll, reconciling payroll with source documents, and serving as a payroll backup.
  • Oversee petty cash fund operations, if applicable.
  • Check the accuracy of figures, calculations, and postings related to business transactions recorded by others.
Qualifications
  • High school diploma or equivalent required.
  • Associate’s degree in accounting or finance preferred.
  • At least one year of experience in accounts payable, payroll, accounting, or finance, preferably in a medical or psychiatric setting.
  • Experience with current accounting software, especially accounts payable and payroll modules.
  • Knowledge of general office procedures and electronic billing required.
Location

This position is onsite and is not a remote position.
