Summary of Position:

Incumbent in this position are responsible for supervising, grant management, document production and management through a variety of manual or technological processes. This may include preparing correspondence, reports, or other documents, maintaining various filing systems, including computer records of various activities, reviewing, and processing forms, assisting staff with inquiries or problems, processing various types of billing, purchase orders and invoices for payment, and similar duties.

Incumbent will work closely with the Accounting Department to ensure all billing and cash records are maintained and reconciled in a timely manner as prescribed by the Tribal Programs CFO. Responsibility includes the collection and accounting of monies and deposit of such on a regular basis to accounting.

Skills, Knowledge, and Abilities
  • Strong interpersonal, communication, and time management skills.
  • Working knowledge of utility billing systems and customer account management software.
  • Basic accounting skills, including invoicing, payments, and record reconciliation.
  • Team‑oriented with the ability to work independently and support daily office operations.
  • Effective organizational, problem‑solving, and decision‑making skills.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent customer service skills and a professional, positive attitude.
  • Ability to maintain confidentiality and accurate records.
Physical and Working Conditions
  • Primarily office‑based work in a utility operations environment.
  • Requires prolonged periods of sitting, standing, and working at a computer.
  • Ability to lift and carry office materials weighing up to 25 pounds.
  • Frequent interaction with the public, utility staff, and vendors.
  • May require occasional overtime or schedule adjustments to meet operational needs.
Minimum Qualifications:
  • High School Diploma or GED required; minimum of two (2) years of clerical or administrative experience, or an equivalent combination of education and experience.
  • Prior experience working in a Tribal government or Tribal Utility Authority administrative role preferred.
  • Experience with Tribal grants administration, including documentation, reporting, and compliance support.
  • Demonstrated reliability, professionalism, and the ability to maintain strict confidentiality.
  • Proficiency in standard office software and administrative systems, including Microsoft Office applications.
  • Ability to communicate effectively, both verbally and in writing.
  • Must be flexible with work schedule; extended hours, evenings, and weekends may be required based on operational needs.
  • Must successfully pass required background investigations (FBI, State, Tribal, and Motor Vehicle Record checks) and drug/alcohol screening.
  • Must possess and maintain a valid driver’s license and be insurable under Santo Domingo Pueblo’s liability insurance requirements.
