Guest Relation Associate (Administrative)
POSITION TITLE: Guest Relation Associate
CLASSIFICATION: Non-Exempt
DEPARTMENT: Tamaya Wellness Center (TWC)
SUPERVISOR: Sports and Events Supervisor
GRADE: NE2
Position SummaryReceives and directs incoming visitors and phone calls to appropriate parties. Performs clerical duties and assists with extensive telephone coverage, typing, filing, equipment and supply ordering and receiving, photocopying, flyer creation and sorting and receiving mail. assists in monitoring community sports and events at the wellness center.

Essential Duties & Responsibilities- Greet all visitors and encourage participation.
- Route incoming visitors, phone calls and mail to appropriate parties.
- Take phone and other messages and route to appropriate staff or contract employees.
- Provide administrative coverage when needed.
- Operate computer to prepare reports on participation and daily activities.
- Provide assistance with coordinating events within wellness center.
- Coordinate staff meetings, document and transcribe meeting minutes if necessary.
- Assist in purchasing or prepare requisition of supply orders.
- Assist in monitoring, setup up and clean-up of events.
- Assist in inspection of community rental reservation space and equipment.
- Must be able to handle the public and stay calm through any situation.
- Performs other duties as required.
- High school diploma or GED certificate required, plus two-three years administrative or general office and/or clerical experience; or equivalent combination of education and experience.
- Customer service and good phone etiquette is required.
- Must be able to type at least 30-40 wpm and demonstrate proficiency in grammar, spelling, math, and filing.
- Must be able to successfully pass a pre-employment drug/alcohol screen and background investigation including a motor vehicle check.
- Must possess and maintain a valid New Mexico driver's license and be insurable under the Pueblo's insurance.
- Ability to operate computers office machines and equipment.
- Ability to deal effectively with the public and support staff.
- Knowledge in Outlook Express, Word, Excel and Publisher.
- Knowledge of standard office procedures and filing systems.
- Ability to work independently and efficiently.
- Problem solving ability.
- Knowledge of compliance and privacy/confidentiality requirements.
- Ability to be versatile and able to adjust to changing work environments.
- May occasionally work under stressful conditions and deal with the public on a daily basis.
While performing the duties of this job, the employee regularly is required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to walk. Duties may involve walking, standing, sitting for long periods of time, crouching and lifting up to 50 pounds.
Work EnvironmentWork is performed generally indoors, and typically in an office setting with moderate noise level, noise level may elevate at times.
