Responsibilities
- Compiles and maintains records of office activities and operates telephone system, answering incoming calls and directing callers to appropriate personnel.
- Prepares application for absence from work and 20‑day reports for staff.
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
- Takes and delivers messages or transfers calls to appropriate personnel.
- Answers questions about organization and provides callers with address, directions, and other information.
- Welcomes on‑site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Monitors visitor access and issues passes when required.
- Assists with processing school transcripts on requests of students transferring.
- Receives, sorts, and routes mail, and maintains and routes publications.
- Assists with registering and withdrawing students.
- Creates and prints memos, correspondence, reports, and other documents when necessary.
- Cross‑trains with other members of clerical staff to serve as backup in their absence.
- Assists with translating for parents when necessary.
- Maintains care for equipment.
- Maintains all records and files in accordance with established procedures and does the needed filing.
- Assists administrator as needed or required by the administrator.
- Other duties as assigned.
High school diploma or general education degree (GED).
Mathematical SkillsAbility to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Language SkillsAbility to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one‑on‑one and small group situations to customers, clients, and other employees of the organization.
Reasoning AbilityAbility to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Physical/Mental DemandsEmployee is frequently required to stand, walk, sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; talk or hear; and taste or smell. Must regularly lift and/or move up to 10 pounds and occasionally up to 25 pounds. Maintains emotional control under stress.
Work EnvironmentThe noise level in the work environment is usually moderate.
