Position Overview

We’re seeking a detail-oriented Intake Specialist to serve as the first point of contact for new project requests and permitting submissions. In this role, you will gather, review, and organize all incoming project documentation to ensure completeness, accuracy, and compliance before handing off to design and permitting teams.

If you excel at documentation, communication, and maintaining workflow efficiency, this position offers a critical role in keeping projects moving smoothly and on schedule.

  • Education:

    High school diploma required; associate degree or administrative/technical training preferred.
  • Experience:
    • 1–3 years of administrative, project coordination, permitting, or customer service experience.
    • Experience in telecommunications, utilities, engineering, or construction is a plus.
  • Skills:
    • Exceptional attention to detail and organizational abilities.
    • Strong communication skills for working with clients and internal teams.
    • Ability to interpret basic project documents, forms, and plans.
    • Proficiency with Microsoft Office, PDFs, and digital file management.
    • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Bonus Points For:
    • Experience with permitting portals or utility submission platforms.
    • Familiarity with gas and telecom design workflows.
    • Experience managing high-volume documentation or intake queues.
    • Basic knowledge of engineering drawings or MOT plans.

    • Receive, review, and process all incoming project requests, permits, and documentation from clients, municipalities, and internal teams.
    • Verify that submitted information is complete, accurate, and meets project requirements before assigning it to design or permitting staff.
    • Communicate with clients, engineers, and team leads to request missing information or resolve discrepancies.
    • Organize and categorize project materials, including drawings, scope documents, specifications, and forms.
    • Enter project data into tracking systems and maintain updated records for project status and deadlines.
    • Coordinate with design, MOT, and permitting teams to ensure smooth transition of newly assigned work.
    • Monitor submission queues and prioritize intake based on deadlines, workload, and client requirements.
    • Assist with generating intake logs, reports, and updates for management.
    • Maintain strong attention to detail and ensure documentation meets compliance standards.
