Purpose

The Administrative Assistant provides administrative support to the site supervisor and facilitates day-to-day operations for students, parents, staff, community members, and vendors, including providing information and directions, managing phone calls, and preparing correspondence and copies. This job description serves as a guide for accomplishing district and site objectives and covers the primary functions and responsibilities of the position. It is not to be construed as an all-encompassing list of duties, minimum Qualifications responsibilities, and skills required.

Minimum Qualifications
  • High school diploma or General Education Degree (GED).
  • One year of previous office experience.
  • Ability to operate office machines, computers, and related software such as word processing, spreadsheets, data entry, and School Messenger.
  • Ability to develop an effective working relationship with students, staff, and the school community.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to perform duties with awareness and understanding of district requirements and Board of Education policies.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of an organization.
  • Ability to apply common sense and understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
Essential Duties And Responsibilities
  • Makes and receives telephone calls, takes messages, and routes calls appropriately.
  • Greets all visitors in a pleasant and helpful manner.
  • Provides directions and information to school sites for visitors and vendors.
  • Translates between Zuni and English languages as needed.
Administrative;
Financial Support
  • Types, prepares, distributes, and files records, reports, and correspondence.
  • Processes attendance and payroll for building staff.
  • Compiles and submits a variety of weekly, monthly, and year-end reports as required.
  • Performs other duties as assigned, consistent with the needs of the organization.
Physical Functions
  • Stand, sit, talk, and listen for long periods of time.
  • Use repetitive hand, arm, and finger motions.
  • Reach with hands and arms; bend and turn neck frequently.
  • Lift up to 30 pounds on occasion and 20 pounds frequently.
  • Walk on even and uneven surfaces.
  • Sit at a computer with arms bent, typing for long periods of time.
  • Work in an office environment with varying temperatures and noise levels.
  • Operate vehicle and equipment with finger, hand, foot, and eye coordination.
Mental Functions
  • Read information in various formats, research information, and present information in oral and written form.
  • Handle interruptions and frustrations in a professional manner.
  • Handle difficult people and difficult situations in a pleasant manner.
  • Interact with people in a pleasant and friendly manner.
  • Give directions to school sites as needed.
  • Follow district policies, procedures, rules, regulations, and processes.
  • Read and understand the procedures of the Open Meetings Act, Inspection of Public Records Act, Family Educational Rights and Privacy Act (FERPA), and related laws.
Essential Equipment
  • Operates office equipment, including computer, scanner, printer, calculator, smart board, and phone.
  • Operates a vehicle and holds a valid driver's license.
