The Special Projects Manager is responsible for sales, pricing, planning, execution, monitoring, coordination, and closure of each assigned project, working with the Project Team. This role plans for and designates project resources, develops budgets, directs progress, and ensures each project’s scope, team performance, resources, and overall success meet company standards.

Essential Job Functions
  • Responsible for managing and overseeing all special projects, repair requests, and scope walks requested by customers.
  • Managing special projects from initial client contact and proposal phases to the hand‑off to field teams through accounting project close.
  • Complying with the customer’s priority matrix and service level requirements.
  • Managing and mentoring field resources, subcontractors, and vendors.
  • Establishing, maintaining, and fostering positive long‑term client relationships.
  • Leading the preconstruction process, including site surveys and site walks, subcontractor selection, and preparation of client proposals.
  • Communicating outsourced scopes of work with subcontractors and vendors, negotiating pricing, and processing subcontract documents or P.O.s.
  • Developing and preparing budgets and estimates for all required scopes of work; planning and designating project resources and overseeing progress.
  • Ensuring that all work requests are completed on schedule and updated in customer systems.
  • Managing a designated budget to meet financial expectations and communicating profitability to management.
  • Coordinating acquisition of all required permits.
  • Ensuring timeliness and accuracy of all subcontracts, vendor P.O.s, and change orders.
  • Ensuring weekly customer update reports for client and company are accurate and timely.
  • Verifying employee time allocated to projects is correct; ensuring daily timeliness and accuracy of timesheets for all on‑site personnel.
  • Serving as a responsible leader to ensure all safety requirements for assigned projects are upheld, adhering to all aspects of the Health, Safety, and Environmental Program.
  • Performing other duties as assigned.
Education, Experience, and Skills
  • 2–5 years of related project management experience or equivalent.
  • Strong technical knowledge and experience in General Building, Plumbing, Electrical, Kitchen Equipment, and HVAC/Refrigeration commercial construction trades.
  • Customer focus, consistently considering the impact on our customer and their customers.
  • Strong written and verbal communication skills with all levels of the project.
  • Preconstruction process experience, including site surveys and site walks, subcontractor/vendor selection, and preparation of budgets and client proposals.
  • Scheduling, purchasing, estimating experience, managing personnel, vendors, and subcontractors.
  • Ability to deal with frequent changes, delays, or unexpected events and communicate accordingly.
  • Flexible schedule and willingness to work some nights and weekends as needed.
  • Ability to read and understand plans and specifications.
  • Ability to assess problems and create a scope of work for solutions.
  • Proficient with computers and familiar with the Microsoft software suite.
  • Experience with Microsoft Project is preferred.
  • Experience with Plan Grid and Bluebeam is a plus.
  • Demonstrates attention to detail, creative problem‑solving, and analytical skills.
  • Ability to identify a need, remove barriers, and use knowledge to make things happen.
  • Values diversity of ideas, opinions, and people.
  • Has common sense and applied logic.
  • Must possess, or be able to obtain, an appropriate state driver’s license, a clean driving record, and reliable transportation.
