Attendance Clerk / Officer
Description
The Attendance Clerk/Officer is responsible for monitoring student attendance, maintaining accurate records, analyzing data trends, and engaging in proactive, consistent communication with students and families. This role leverages data systems and structured processes to identify attendance concerns early, intervene effectively, and hold students and families accountable while maintaining a supportive, student-centered approach.

- Coordinate school-wide attendance monitoring and absenteeism prevention efforts with a dual focus on:
- educating families on attendance expectations and requirements, and
- intervening early to address patterns and underlying causes of absenteeism
- Monitor student adherence to school attendance policies in collaboration with teachers and administrators
- Conduct consistent and timely outreach to targeted students and families via email, phone calls, and automated notifications
- Communicate attendance concerns in a manner that is clear, professional, firm, and supportive, adjusting tone as needed based on student history and level of concern
- Refer students and families to administrators for formal attendance or truancy intervention meetings when attendance does not improve
- Attend attendance or truancy-related meetings with school administrators as required
- Ensure compliance with school policy and state requirements related to attendance, enrollment status, and withdrawals
- Create, maintain, and monitor attendance trackers, reports, and documentation for school, county, and state reporting purposes
- Analyze attendance data to identify trends, chronic absenteeism, and students requiring targeted intervention
- Collaborate with the Student Support Team to assist students whose attendance challenges may require referral to internal supports or external service agencies
- Work with families, teachers, and support staff to develop individualized action plans designed to improve student attendance and engagement
- Partner with academic and operational leadership to improve attendance procedures, workflows, and systems
- Support preventative efforts aimed at reducing chronic absenteeism and disengagement
- Develop or support informational resources or training related to attendance expectations and procedures for staff and families
- Assist with additional attendance-related projects and initiatives as assigned
Education/Experience
:
- High School Diploma or General Equivalency Degree (GED) Certificate
- Two (2) years of experience in attendance tracking, student data management, administrative support, family engagement, or a related role
- OR an equivalent combination of education and relevant experience
Basic Requirements
- Strong Microsoft Excel skills, including creating and maintaining trackers, using formulas, and sorting/filtering data
- High level of comfort working across multiple systems and databases
- Exceptional written and verbal communication skills
- Ability to deliver difficult or high-stakes messages clearly, professionally, and without hesitation
- Ability to balance empathy with accountability when working with students and families
- Strong organizational skills and attention to detail
- Ability to manage a high volume of communication and follow-through consistently
- Sound judgment in determining when to be supportive versus when to escalate concerns
