JOB PURPOSE:
Provides leadership to plan, organize and manage all of the activities related to the Admission and Registration Department, including serving as the official authorized keeper of the university's student records.
JOB
DUTIES & RESPONSIBILITIES:
- Develops departmental plans, goals and objectives and ensures compliance to contractual obligations and requirements.
- Organizes and administers the records, registration and graduation functions, including transcript evaluations, and admissions in order to provide maximum service to students while ensuring efficient and effective workflow.
- Oversees the admission and registration of international students per SEVIS.
- Conducts orientation and workshops on FERPA.
- Supervises the coordination, evaluation and certification of all graduation applications, while overseeing the complete graduation process to include all elements of the rehearsal and ceremony.
- Collects, records, maintains and reports student records within FERPA guidelines, e.g., grades, registration data, transcripts, probation, honors, mid-term verification, and other associated audits.
- Creates and updates catalog, prerequisites, programs, new courses, student schedules and oversees registration each semester.
- Updates and ensures accurately degree outlines.
- Achieves financial objectives by preparing and administering annual budget; presenting and justifying budget recommendations to appropriate personnel.
- Contributes to department's effectiveness by identifying short-term and long-range issues and goals that must be addressed; providing information and commentary pertinent to deliberations; recommending options and courses of actions; implementing directives.
- Keeps leadership and other departments informed of status of department activities by attending meetings and submitting reports.
- Provides leadership and develops appropriate recommendations for the implementation of related technology application in support of enhanced services offered through Registration and Records.
- Conducts research, analysis and resolution of student disputes as they relate to records and registration.
- Maintains professional and technical knowledge by conducting research, attending seminars, educational workshops, classes and conferences; reviewing professional publications; establishing networks; participating in professional societies; conferring with representatives of contracting agencies and related organizations.
- Maintains confidentiality of all privileged information per FERPA.
- Performs other duties as assigned.
SUPERVISION RESPONSIBILITIES:
- Hosts regular staff meetings to ensure communication among personnel regarding departmental activities.
- Supervises and manages personnel which include for hiring, firing, performance evaluation, training, work allocation, and problem resolution.
- Oversees the daily operations of the admissions, registration, and records.
- Prepares and maintains departmental budgets and oversee compliance throughout fiscal year; time keeping and approval.
MINIMUM
QUALIFICATIONS/REQUIREMENTS:
- Master's Degree in Business Administration, Student Services, Educational Administration, or related field.
- Demonstrated understanding of the application of technology to deliver Records and Registration services.
- Five years work experience in registration, admissions and records.
- Three years in a management or supervisory capacity.
- Member of American Association of Certified Registrars and Admissions Officers. Certification preferred.
- Valid and clean state driver's license.
- Must be able to pass background check, with NO prior convictions of any felonies and no history of child abuse and/or neglect.
KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS:
- Knowledge of applicable federal, state, county and local laws, regulations, and requirements.
- Knowledge of student registration, academic, and residency requirements.
- Knowledge of New Mexico Higher Education Department student transfer policies and procedures.
