Grant Program Compliance And Data Verification Specialist

The Orleans Parish Sheriff's Office (OPSO) is seeking an experienced Grant Program Compliance and Data Verification Specialist. The Grant Program Compliance and Data Verification Specialist is responsible for ensuring the accuracy, completeness, and compliance of program data and supporting documentation for grant-funded initiatives. This position serves as the primary point of verification between program operations and grant reporting by collecting, validating, reconciling, and maintaining participant and performance records.

Working closely with program staff, community providers, evaluators, and reporting directly to the Clinical Program Director. The Specialist ensures that all reported outcomes are supported by source documentation and comply with applicable grant requirements, organizational policies, and confidentiality standards.

This position regularly works on-site and plays a critical role in maintaining audit-ready records for federal, state, and private grant awards.

Essential Duties and Responsibilities

Program Data Collection and Verification

  • Collect participant attendance, enrollment, and completion documentation directly from facilitators and program providers at the Orleans Justice Center and Day Reporting Center.
  • Verify participant enrollment, service delivery, attendance, and program completion using primary source documentation.
  • Reconcile paper sign-in sheets and attendance records with electronic program databases and resolve discrepancies promptly.
  • Follow up with facilitators and service providers to obtain missing attendance and completion documentation.
  • Ensure participant records accurately reflect dates of service and program completion.

Deliverable Documentation and Record Management

  • Maintain complete supporting documentation to the Grants Manager for review and processing.
  • Maintain an up-to-date deliverables tracking system aligned with approved grant performance measures.
  • Prepare verified, source-linked data packages for independent evaluators and grant reporting documentation for every reported grant deliverable.
  • Organize and maintain audit-ready files that allow each reported performance measure to be traced to its original source documentation.
  • Assemble supporting documentation for provider invoices and program expenditures

Grant Compliance Support

  • Maintain program compliance checklists and grant reporting calendars.
  • Monitor reporting deadlines and provide advance notification to the Grants Manager.
  • Conduct periodic documentation reviews at program sites to identify missing, incomplete, or inconsistent records.
  • Recommend corrective actions to improve documentation quality and compliance.
  • Support grant monitoring visits, audits, and site reviews by producing requested documentation.
  • Assist in maintaining compliance with applicable confidentiality requirements, data-sharing agreements, and organizational policies governing participant information.

Coordination and Communication

  • Collaborate daily with facilitators, transition specialists, program staff, community providers, and partner agencies to ensure timely and accurate documentation.
  • Provide verified data and supporting documentation for grant performance reports.
  • Prepare program-level data summaries for leadership meetings, stakeholder presentations, and task force meetings.

Continuous Improvement

  • Identify opportunities to improve data collection, verification, documentation, and reporting processes.
  • Assist with implementation of quality assurance procedures to improve data integrity across grant-funded programs.
  • Maintain current knowledge of grant compliance requirements, organizational policies, and applicable regulations.
Education and Experience Requirements
  • Bachelor's degree in public administration, Criminal Justice, Social Sciences, Data Analytics, Business Administration, Finance, or a closely related field.
  • Minimum of two (2) years of professional experience in grant compliance, program data management, case documentation, records management, or a related administrative or program support role.
  • Experience maintaining detailed records with a high degree of accuracy.
  • Experience using spreadsheets, databases, and word processing software.
Knowledge, Skills, and Abilities
  • Strong organizational and time management skills.
  • Exceptional attention to detail and data accuracy.
  • Ability to reconcile information across multiple documentation systems.
  • Ability to maintain confidential and sensitive information.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Proficiency in Microsoft Excel, Microsoft Word, database systems, and electronic document management.
  • Ability to work collaboratively with multidisciplinary teams.
  • Ability to interpret grant requirements and apply established policies and procedures.
