The Office & Facilities Coordinator supports the smooth day-to-day operation of Strongward's New Orleans headquarters by maintaining an organized, welcoming, and functional workplace for staff, partners, and visitors.
This role coordinates office operations, hospitality, vendor support, shared spaces, basic facility needs, office systems, and internal meeting coordination. As a consistent onsite presence during key office hours, the coordinator helps keep the office stocked, secure, organized, and ready for use.
Key Responsibilities and Duties
- Welcome onsite visitors and provide a warm, professional office experience.
- Manage daily mail, packages, deliveries, and shipping/receiving needs.
- Maintain clean, organized, and well-stocked shared spaces.
- Coordinate conference room bookings, light hospitality, food orders, setup, and room readiness.
- Partner with IT on workstation setup, seating assignments, and basic onboarding coordination.
- Process and code office operations and facilities invoices with Finance.
- Prepare basic internal materials, including printing, signage, and document organization.
Facilities Management
- Serve as the onsite liaison for scheduled vendors, including cleaning, pest control, maintenance, and facilities services.
- Manage HQ security systems, including cameras, alarms, and key cards; respond to alarm notifications as needed.
- Complete daily opening and closing procedures to keep the building secure and prepared.
- Track routine service schedules for HVAC, fire extinguishers, printers, water filters, and office systems.
- Submit facilities tickets, monitor follow-up, and escalate concerns as appropriate.
- Support weather protocols, minor office projects, workspace adjustments, and basic campus upkeep.
- Coordinate with tenants and neighbors on building-related or shared-use questions.
- Conduct routine walkthroughs to identify maintenance, safety, and restocking needs.
Culture, Events & Communication
- Plan and support internal events, team-building activities, donor visits, board meetings, and small convenings at HQ.
- Support onsite community events through light setup, hospitality, and breakdown.
- Coordinate office-wide communications with the Chief of Staff regarding policy updates, closures, operational changes, and coordination.
- Ensure the office experience, signage, and shared spaces reflect Strongward's culture and values.

Requirements and Qualifications
- Experience:
2-3 years in office coordination, hospitality, facilities support, or administrative operations. 1-2 years of experience coordinating vendors and managing vendor relationships. - Education:
High School diploma or equivalent, with an Associate's degree or equivalent professional experience preferred. - Skills:
Strong organizational skills, attention to detail, and proactive problem-solving. Excellent communication skills and a warm, professional presence with staff, visitors, and partners. Ability to balance multiple tasks, prioritize effectively, and maintain an orderly workplace. Highly dependable, with consistent attendance and follow-through. Positive, can-do attitude and willingness to address issues as they arise. - Technical:
Google Suite;
Ability to lift up to 25 lbs. and remain mobile for most of an 8-hour shift.
Special Requirements and Physical Demands:
Ability to lift up to 25 lbs. and remain mobile for most of an 8-hour shift. Must pass required background checks, including criminal history, National Sex Offender Registry, state and FBI checks, and drug screening. Must meet legal work authorization requirements.
Salary range:
Non-Exempt (32 hours/week) $16.80/hr - $21.88/hr
