Grants Fiscal Specialist
Northwood Technical College is seeking applications from qualified candidates for a full-time/LTE Grants Fiscal Specialist at the New Richmond OR Rice Lake Campus.
This is a grant-funded, limited-term employment (LTE) position with funding currently secured through June 30, 2027. Opportunities for continuation will be evaluated based on program needs, funding availability, and performance.
The Grants Fiscal Specialist is responsible for supporting the fiscal administration of WIOA, Rural Health, and other grant-funded projects by ensuring the accurate tracking, reconciliation, documentation, and reporting of grant expenditures. This position plays a critical role in maintaining compliance with federal, state, funder, and College requirements, including the monthly collection, documentation, and tracking of WIOA leverage.
Working collaboratively with the Grants & Resource Development team, Business Services team, project staff, and external partners, the Grants Fiscal Specialist prepares reimbursement requests, monitors grant budgets, reconciles payroll and financial transactions, maintains required fiscal and leverage documentation, and verifies expenditures are properly documented and allowable. This position promotes financial accuracy, compliance, accountability, and audit-ready recordkeeping throughout the grant lifecycle.

Grant Financial Administration:
- Administer fiscal processes for WIOA, Rural Health, and other assigned grants in accordance with federal, state, funder, and College requirements.
- Monitor grant expenditures and maintain budget tracking tools to ensure spending aligns with approved budgets.
- Prepare grant reimbursement requests and supporting financial documentation for submission to funding agencies.
- Review and reconcile payroll allocations, general ledger activity, and other grant expenditures for accuracy.
- Coordinate the monthly collection, documentation, tracking, and reconciliation of WIOA leverage and other required match or leveraged resources.
Financial Reconciliation & Analysis:
- Reconcile payroll reports, general ledger reports, invoices, and supporting documentation to ensure expenditures are accurately recorded and appropriately charged.
- Investigate and resolve discrepancies in financial records and collaborate with appropriate departments to ensure timely corrections.
- Verify expenditures are allowable, properly documented, and supported by required financial records.
- Maintain detailed reconciliation records and financial audit trails.
Grant Compliance & Documentation:
- Maintain complete, organized, and audit-ready grant fiscal files in accordance with applicable grant and College requirements.
- Ensure supporting documentation is complete, accurate, and retained in accordance with applicable record retention requirements.
- Assist with grant monitoring activities, compliance reviews, and audits.
- Support compliance with Uniform Guidance, WIOA regulations, funding agency requirements, and applicable fiscal policies.
