AP​/AR Admin

Description We are looking for an AP/AR Admin to support day-to-day accounting activities for multiple related businesses in New York, New York. This position is well suited for someone who can work independently, learn quickly, and maintain strong communication across operations, billing, and vendor-facing teams. The role focuses on accurate payables and receivables processing, issue resolution, and consistent reporting to help keep financial activity organized and on schedule.

Responsibilities:

- Process vendor invoices across multiple warehouse locations, verify billing accuracy, and confirm payment terms against purchase orders and supplier agreements.

- Monitor the accounts payable workflow, identify discrepancies or missing information, and escalate concerns promptly to leadership when issues require review.

- Coordinate with internal partners such as import, operations, and ownership teams to confirm invoice details and obtain payment authorization.

- Record incoming customer payments in Quick Books and maintain accurate accounts receivable records for several related business entities.

- Review aging activity regularly, investigate short payments, and research deductions or chargebacks by working with customers, vendors, and internal stakeholders.

- Track factor-related payment activity, reconcile reports received from financing partners, and ensure cash application details are properly reflected in accounting records.

- Prepare recurring updates on unpaid invoices, receivable aging, and outstanding deductions so leadership has clear visibility into open items.

- Enter credit memos and support ongoing accounting administration, including adapting to future platform changes as business systems evolve. Requirements - 2+ years of experience in accounts payable, accounts receivable, or a blended accounting support position.

- Hands-on experience using Quick Books and confidence working with invoice entry, payment posting, and account reconciliation tasks.

- Strong understanding of purchase orders, invoice matching, payment terms, and chargeback research.

- Ability to work effectively in an independent role while staying organized and following through on priorities without close supervision.

- Strong communication skills with the ability to collaborate across accounting, operations, billing, and external partner teams.

- High attention to detail and accuracy when handling data entry, financial records, and reporting.

- Ability to learn new processes quickly and identify issues early before they affect payment timing or account balances.

- Experience in wholesale, housewares, home goods, apparel, accessories, or other product-based industries is preferred.
