Collections Specialist

Description We are looking for a Collections Specialist to support account receivables activities for a long-term contract opportunity based in New York, New York. This position focuses on managing delinquent commercial accounts, resolving billing-related issues, and helping maintain accurate customer balances through careful follow-up and analysis. The ideal candidate brings strong communication skills, sound judgment, and the ability to work across teams while maintaining a detail-oriented and customer-focused approach.

Responsibilities:

- Monitor overdue accounts and take appropriate next steps to escalate unresolved balances to external collection partners or legal channels in accordance with company guidelines.

- Review customer account activity to address pricing discrepancies and prepare credit memo documentation that supports accurate account reconciliation.

- Analyze aging reports to identify and clear minor outstanding balances while ensuring account records remain current and accurate.

- Prepare and deliver recurring account status updates and monthly reporting for management review.

- Verify that call and account documentation is complete and accurate so items can be finalized and released for billing.

- Coordinate the release of maintenance and repair invoices requiring special handling and ensure they are processed correctly.

- Communicate with customers and internal teams to resolve payment issues, research deductions, and support timely collection efforts. Requirements - At least 5 years of collections experience in a commercial environment.

- Background in service-related or maintenance-based industries is preferred.

- Associate degree is preferred, or equivalent relevant experience may be considered.

- Strong verbal and written communication skills with the ability to influence conversations effectively.

- Demonstrated ability to stay organized, manage multiple priorities, and take ownership of assigned work.

- Strong attention to detail with solid problem-solving skills, including experience with deduction review and account research.

- Proficiency in Microsoft Word, Excel, and PowerPoint.

- Ability to build effective working relationships with customers, field teams, and internal staff while maintaining a strong business presence.
