Job Description:
We are seeking a professional and customer service focused Service Specialist to join the Epiq team at our law firm client's downtown office. In this pivotal role you will provide various administrative support which may include copy, print, mail, hospitality, facilities and receptionist services. Essential Job Responsibilities
Mail Services includes metering, sorting, and distributing mail and accountable packages per schedule
Copy Services includes accurately producing copy, print and scan projects per written instructions
Reception includes answering incoming telephone calls and routing to the appropriate person, will greet and announce visitors in a friendly and professional manner
- Work closely with the client's staff to assist with front office
- Answer incoming telephone calls and forward to the appropriate person
- Take accurate and complete messages for those who are unavailable
- Promptly greet and announce visitors in a friendly and business-like manner
- Maintain a neat and organized reception desk and front lobby area
- Order and stock supplies as needed
- Process billing invoices
- Perform other administrative duties as requested
- Provide elevated concierge style hospitality services
- Set-up meeting rooms as specified
- Perform walk through of floor(s) to inspect and ensure that all conference rooms and kitchens are clean, and stocked with supplies
- Clean pantry and kitchen as needed
- Provide support for miscellaneous requests and flex services
- Utilize various software and event planning programs to meet tasks
Facilities Services may include hanging pictures, small office moves, cleaning services and communication with key client contacts regarding building/equipment concerns.
Qualifications & Requirements
- High School Diploma, Associate Degree preferred
- 1+ work experience in a customer services field
- 1+ work experience in a legal environment providing Front Desk, Copy and Mail Services
- Ability to multitask with attention to detail
- Ability to resolve issues with professionalism and tact
- Ability to handle client complaints with professionalism, patience, and diplomacy
- Ability to lift or move 40 lbs. or greater
- Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
- Ability to walk, bend, kneel, stand or sit for an extended period of time
- Working knowledge of MS Word, Excel and Outlook
