Position Overview
We are seeking a highly organized, detail-oriented Executive Assistant to directly support Ekho's founders and report to the CEO. This role is critical to keeping the founders focused, organized, and operating at maximum effectiveness. The ideal candidate is exceptional at managing complexity, anticipating needs, and creating structure in a fast-moving startup environment. You will serve as a trusted partner to the founders, ensuring priorities are clearly organized and day-to-day operations run seamlessly.
Primary Responsibilities
- Founder & Executive Support: Provide day-to-day administrative support to the founders, ensuring schedules, meetings, and priorities are well organized and executed smoothly
- Calendar & Scheduling Management: Own complex calendars, coordinate internal and external meetings, and proactively resolve scheduling conflicts across multiple stakeholders
- Meeting & Event Coordination: Organize meeting logistics including agendas, materials, conference rooms, catering, AV setup, and virtual platforms; assist during meetings and capture notes/action items as needed
- Travel & Logistics Management: Coordinate domestic travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries
- Interview & Candidate Coordination: Assist with on-site interview scheduling and travel logistics, ensuring candidate schedules and day-of logistics are organized and professional.
- Document & Information Management: Prepare, format, and maintain presentations, reports, and spreadsheets; organize materials within internal systems (e.g., Notion, Google Drive, Gmail)
- Office & Operational Support: Support onboarding logistics, hardware/software requests, and office coordination as needed
- Communication & Confidentiality: Serve as a point of contact for internal and external stakeholders while handling sensitive information with discretion
- 4+ years of experience in an executive assistant or high-level administrative support role at a venture-backed technology company.
- AI-pilled - comfort leveraging AI tools to improve efficiency (Granola, Claude, ChatGPT, Wispr, Juicebox, Notion AI, etc.)
- Proven experience managing complex calendars and coordinating meetings for senior leaders
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Experience coordinating domestic travel, including flights and accommodations
- High attention to detail, reliability, and professionalism
- Ability to work on-site in New York City five days per week
- Incredibly personable and able to adapt to a wide array of different audiences in different contexts, serving as a spokesperson for Ekho and Ekho's co-founders
- Experience supporting founders or executives in a startup or high-growth environment.
