The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Associate Director for Libraries Facilities and Planning, the Facilities Coordinator is a key member of the Libraries' facilities team, in support of the Libraries mission and services. This individual will work closely with Columbia University Facilities and Operations staff to prioritize service requests and ensure a safe and well-maintained environment for Libraries users and staff. The Facilities Coordinator is also responsible for managing assigned Libraries' repair and space refurbishment projects as well as other facilities-related initiatives.

This role requires a solid understanding of facilities maintenance, project management, and the ability to prioritize competing facilities demands effectively.

Responsibilities

  • Responsible for coordination of facilities maintenance and repairs. Conducts regular building inspections to identify maintenance needs, lighting and general state of repair. Monitors building conditions including HVAC, lighting, and custodial services. Submits, tracks, and follows-up on facilities service requests. Works with CU facilities to effect resolution of problems. Communicates any issues that may affect normal operations to building occupants and provides regular updates.

    Reports progress, escalates persistent problems, and recommends solutions to the Associate Director for collaborative resolution. Maintains detailed records of all facilities requests and completed work.
  • Coordinates assigned facilities project initiatives from start to finish. This includes planning, securing cost estimates, and preparing a budget and schedule. Implements effective project monitoring to track progress, identify potential risks, and proactively address issues that may affect delivery. Coordinates work with CU facilities and internal stakeholders to ensure that projects are completed on time and within budget. Maintains accurate project documentation and relevant correspondence.
  • Manages furniture and supply logistics. This includes coordinating deliveries and installation. Coordinates office and departmental staff moves, including managing furniture moves and setup configurations to meet user specifications. Conducts physical inventories of furniture and assets, ensuring all database and floor plan records are current and accurate. Contributes to sustainability initiatives by coordinating furniture repurposing, donation, or responsible disposal programs.
  • Performs related duties and responsibilities as assigned/requested.

Minimum Qualifications

  • Bachelor's degree and or its equivalent required. Minimum of 2-4 years' related experience.
  • Knowledge and familiarity with principles and practices for facilities maintenance and repair procedures.
  • Ability to prioritize tasks and manage multiple projects.
  • Attention to detail and strong organizational and time management skills.
  • Requires adaptability/flexibility, effective communication and strong interpersonal skills.
  • Ability to work independently and collaboratively with a diverse team.
  • Proficiency with Microsoft Office Suite and Google Workspace for tracking, reporting, and record-keeping.

Preferred Qualifications

  • Ability to establish and maintain effective working relationships with staff, contractors and vendors, as necessitated by the work.
