The Evidence Custodian & Office Coordinator is responsible for overseeing the secure handling, storage, and tracking of all evidence within the NY lab/office and stored on Sandline's network. while also ensuring the efficient operation of office functions. This role requires strong organizational skills, attention to detail, and the ability to maintain a strict chain of custody for all evidence items. Additionally, the position includes general office coordination duties such as administrative support, inventory control, and coordination with internal team members regarding evidence status.
Responsibilities:
- Evidence Marshall Duties:
- Receive, log, and securely store all incoming evidence.
- Maintain a comprehensive chain of custody for all evidence items.
- Assist forensic examiners in retrieving and returning evidence, as needed.
- Ensure proper packaging and labeling of all evidence.
- Maintain and update evidence tracking systems and databases.
- Conduct regular audits of evidence storage areas to ensure compliance with policies and regulations.
- Log into eDiscovery platforms, such as Relativity and Everlaw, and prepare or restore archives of data as needed.
- Prepare evidence for transfer to clients, law enforcement agencies, or other authorized parties.
- Liaise with multiple departments to manage the lifecycle of evidence.
- Gather and document data related to evidence handling and management.
- Assist in the proper disposal of evidence once authorized.
- Provide assistance to Sandline department heads as needed.
- Office Duties:
- Oversee daily office operations to ensure a well-organized and efficient workplace.
- Manage office supplies, equipment, and inventory to maintain adequate stock levels.
- Assist with administrative duties, including scheduling, record-keeping, and correspondence as needed.
- Coordinate with vendors, service providers, and external agencies as needed.
- Support financial and budgetary functions such as invoice processing and expense tracking.
- Ensure compliance with company policies, procedures, and applicable regulations.
- Handle confidential information with discretion and professionalism.
- High school diploma or equivalent (associate or bachelor's degree preferred).
- Prior experience in evidence handling, law enforcement support, or records management is a plus.
- Strong organizational and multitasking abilities.
- Proficiency in office software (Microsoft Office Suite, database management, etc.).
- Excellent attention to detail and accuracy in record-keeping.
- Ability to work independently and collaboratively with various departments.
- Strong communication skills, both written and verbal.
- Knowledge of legal and regulatory requirements related to evidence management is preferred.
- Must be able to report into the lab daily.
- Office setting with occasional work in secure storage areas.
- May require lifting and handling of evidence items.
- Strict adherence to confidentiality and security protocols.
