Workplace Concierge
As a Workplace Concierge, you will serve as a key point of contact, managing telephone communications and delivering exceptional customer service. This role includes operating the company switchboard, routing calls efficiently, addressing inquiries, and providing administrative and conference services support. Reporting directly to the Client Relations Manager, you will help ensure a smooth, professional, and responsive workplace environment.
Location:
Manhattan, NY
Compensation: $25.50 - $26.27 per hour
Schedule:
6:30 AM - 7:00 PM | Varying 8-hour shifts, Monday through Friday
Key Responsibilities
Switchboard Operations
- Manage incoming and outgoing calls with professionalism and accuracy
- Maintain an up-to-date understanding of staff directories and extensions
- Monitor multiple phone lines to ensure efficient flow of communication
- Route calls to the appropriate departments or team members with discretion
- Take and relay accurate messages via email, text, or other approved channels
- Deliver warm, helpful service to all callers and visitors
- Respond to general inquiries with accurate information
- Record essential call details, including caller information and purpose
- Maintain organized call logs for future reference and reporting
- Follow established protocols during urgent situations
- Notify appropriate personnel while maintaining composure and professionalism
- Assist with internal communications and announcements
- Maintain accurate and current employee directories
- Coordinate with the receptionist to ensure seamless coverage
- Set up conference rooms, including staging, layout, and AV coordination
- Organize catering for meetings and ensure accurate, timely delivery
- Maintain office supply inventory to support operations
- Participate in company training programs, including through the Cornerstone platform
- Develop knowledge and skills relevant to the Workplace Concierge role
- Sort, distribute, and process incoming and outgoing mail and packages
- Restock mailing and shipping supplies as needed
- Operate and maintain copiers, printers, and related equipment
- Handle print requests (binding, scanning, bulk jobs) with accuracy
- Keep mailroom and print areas clean, organized, and fully functional
- High school diploma required; college degree preferred
- Minimum of 1 year in a customer-facing or administrative role
- Proficiency in Microsoft Office Suite
