We are excited to recruit for this pivotal Office and Executive Coordinator role to ensure smooth administrative execution and dedicated support within our New York office. You will serve as a critical hybrid operations lead and a trusted personal assistant, playing a key role in exceeding the expectations of those who experience our brand.

What You'll Be Doing

As an Office and Executive Coordinator, you will be responsible for ensuring the seamless daily operation of our New York headquarters while supporting our senior leadership. Your responsibilities will include:

* Office Management & Facilities:
Overseeing day-to-day office management, including maintaining common areas, managing inventory, ordering supplies, and acting as the primary contact for vendors and facilities coordination.

* Executive Support:
Providing dedicated personal assistant duties for the CEO and key executives, including managing complex calendars and correspondence.

* Travel & Logistics:
Executing all aspects of domestic and international travel booking, including flights, accommodation, visa assistance, and itinerary planning.

* Technology & Onboarding:
Coordinating the tracking of IT hardware (laptops, monitors) and serving as the local liaison for the global IT team to facilitate employee onboarding and offboarding logistics.

* Finance Administration:
Accurately managing and processing invoices and expense reports for both the office and the executive team.

* Cross-functional Coordination:
Assisting with the preparation of meeting materials and presentations while coordinating effectively across teams and senior stakeholders.

About You:

What Can You Bring?

We are looking for an individual who is highly organized and detail-oriented with a proven track record of managing complex logistics. You will be passionate about delivering successful outcomes and possess:

* 1-2 years in an administrative, personal assistant, or related office support role (preferred).

* Bachelor's degree.

* Excellent communication skills (written and verbal) with the ability to coordinate across teams, external vendors, and senior leadership.

* Technical Proficiency:
Essential skills in Google Workspace (Docs, Sheets, Calendar) and comfort managing IT hardware assets.

* Logistics Management:
Proven ability to handle travel, office assets, and shipments with exceptional attention to detail.

* Professional Attitude: A positive, proactive, and flexible approach, comfortable working in a fast-paced environment and ready to grow with the company.

When and Where You'll Be Doing It

* Position:
Full-time.

* Attendance:
This role requires in-office attendance 5 days a week at the New York office.

* Salary:
The salary range for this position is $67,000 - $72,000 (USD), depending on experience.

* Reporting:
This role reports directly to the CEO.
