Job Description

The NBCUniversal Early Careers team recruits and develops the next generation of media and entertainment leaders, and we are looking for a Coordinator to join our Internship Experience Team! In this role, you will work with our best-in-class internship experience and recruitment colleagues to deliver an excellent onboarding and program experience for over 800 interns each year.

This position plays a critical operational role in executing the internship program, with a primary focus on supporting high-volume onboarding and offboarding transactional operations, program logistics, and day-to-day support of interns and supervisors. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing details on a large scale, and takes pride in keeping complex processes running smoothly.

As needed, the Coordinator will support project work related to program engagement, experience enhancements, and developmental initiatives.

This role balances consistent, detail-driven operational execution with cross-functional collaboration, and reports to the Manager, Internship Program Experience.

Responsibilities:

* From time of verbal offer, partner with Early Careers Recruiters to create and deliver formal offer letters to incoming Interns.

* Track new hire paperwork and background checks and follow up with new hires as needed.

* Create and confirm new hire details within our mass upload templates for hire into SAP.

* Confirm work authorization for incoming hires, process I-9s, and research issues with the HR Operations team as they arise.

* Partner with the Payroll team to confirm Interns are loaded into the time keeping system and assign direct approvers.

* Along with the Internship Experience team members, maintain the program Global Hired List and evaluate changes needed as each hiring season begins.

* Throughout the program, maintain Intern position changes (e.g., supervisor modifications, pay details, work location) to ensure we keep an accurate system of record.

* Support the Intern and supervisor populations by helping to monitor our team inbox.

* Partner with other Internship Experience team members on special projects to enhance overall Intern experience.

* On-site point of contact available to support Interns with large scale events.

Qualifications

Basic Requirements:

* Bachelor's degree or equivalent work experience

* 1+ years of relevant work experience, including but not limited to, talent acquisition coordinator, human resources coordinator, HR operations, recruiting, or administrative assistant

* Experience using Microsoft Excel and SharePoint at an intermediate level

* Ability to manage high volume data with meticulous attention to detail

* Exceptional ability to organize tasks and manage conflicting priorities

Desired Characteristics:

* Familiarity with onboarding processes for high volume internship, rotation, or entry-level programs

* Experience with applicant tracking systems

* Solid interest in human resources or talent acquisition operations, or early career program management, and an overarching desire to help people in an impactful way

Hybrid:
This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.
