Reports to: Chief Financial Officer
Salary:$95,000 - $105,000/Annual
FLSA Status: Full-Time/Exempt
Role Summary:
The Finance Project Manager serves as a trusted strategic partner, providing high-level advisory, analytical, and operational support to advance the organization's financial and strategic priorities. This role requires sound judgment, executive presence, and the ability to operate independently in a complex, fast-paced environment. The Finance Project Manager works closely with the CFO to assess priorities, support decision-making, manage cross-functional initiatives, and represent the CFO's office in interactions with executive leadership, the Board of Directors, and external stakeholders.
The successful candidate will bring strong analytical capabilities, discretion, and the ability to translate strategy into execution while maintaining strict confidentiality.
Primary Job Responsibilities/Duties:
The Finance Project Manager is responsible for providing high-level executive and administrative support to the CFO, including but not limited to:
Strategic Advisory & Executive Support
- Serve as a trusted advisor to the CFO, providing insight, analysis, and recommendations on financial, operational, and organizational matters.
- Anticipate issues, identify risks and opportunities, and support informed decision-making aligned with organizational goals.
- Act as an extension of the CFO's office, prioritizing issues, managing sensitive matters, and ensuring follow-through on executive decisions.
- Proactively manage the CFO's Outlook calendar, email, and contacts; schedule and coordinate meetings, conference calls, and appointments; prioritize and resolve scheduling conflicts.
- Coordinate all aspects of CFO travel, including itineraries, logistics, and expense reconciliation.
- Manage incoming calls, correspondence, and inquiries; draft correspondence and route matters appropriately to ensure timely follow-up.
- Prepare executive-level materials, including correspondence, reports, analyses, and presentations (PowerPoint, charts, graphs, and financial visuals) for leadership, client, and Board meetings.
- Maintain confidential records, files, and meeting documentation; attend meetings as needed to capture and manage minutes or notes.
- Support Board-related activities, special events, and executive meetings in collaboration with other administrative staff.
- Conduct research, analysis, and scenario modeling to support financial planning, budgeting, forecasting, and strategic initiatives.
- Prepare executive-level briefing materials, reports, and presentations for leadership, Board, and external audiences.
- Synthesize complex information into clear, actionable insights for executive review.
- Lead and coordinate cross-functional projects on behalf of the CFO, ensuring alignment, accountability, and timely execution.
- Track progress on key initiatives, prepare status updates, and recommend adjustments as needed.
- Support special projects related to organizational growth, compliance, restructuring, or transformation.
- Travel with or on behalf of the CFO as needed to various locations within the United States, including Puerto Rico, to support site visits, executive meetings, and stakeholder engagements.
- Gather insights from field operations and provide feedback and recommendations to executive leadership.
- This is a full-time, exempt position. While standard business hours are Monday through Friday, 9:00 AM to 5:00 PM, exempt employees are expected to work the hours necessary to effectively fulfill the responsibilities of the position, based on organizational needs, deadlines, or events.
- Office setting with regular exposure to computer screens and moderate noise levels.
- May be required to work shifts, including evenings or night tours and/or Saturdays, Sundays and holidays..
- Must be able to read, speak, write, and understand English for administrative purposes.
- Must pass drug screening to be appointed.
- This position may be subject to a series of investigations before and after appointment.
- MA/MS degree or equivalent in Administration, Finance, Human Relations, or Management with a minimum of two (2) years of experience working as an administrative assistant at an executive level; OR
