Position Summary

The Mailroom and Security Representative is a cross-functional role responsible for supporting both security operations and administrative service functions s position is cross-trained to operate across multiple stations, including Security, Mailroom/Courier Services, Office Support, Reception, and Conferencing Services, ensuring seamless daily operations throughout the building.

The position balances building safety responsibilities with service center and workplace support functions. The Headquarters office operates Monday through Friday, 7:00 AM–7:00 PM, and flexibility in scheduling is required. The successful candidate provides professional and responsive customer service, demonstrates proactive problem-solving and attention to detail, and adapts effectively to a dynamic, team-oriented environment.

Children's Aid annually serves children and their families at over forty sites in New York, as well as through three national program models. Essential Duties and Responsibilities

Security

• Observe building activities, report irregularities, and maintain the security log.
• Respond to emergencies and participate in crisis situations under the direction of the Security Lead.
• Learn and follow established safety protocols to support the safety of staff and clients in the building.
• Provide backup coverage at security posts as needed.
• Escort staff to safety and assist with arranging car service when needed.
• Serve on the Emergency Response Team by responding to safety-related incidents and emergencies and assisting with fire and other emergency drills.
• Operate the building paging system.
• Observe building activity and promptly report safety concerns, unusual activity, or incidents to the Security Lead or supervisor.
• Use building management and visitor management systems to check in visitors and maintain accurate visitor logs.
• Apply de-escalation practices when responding to challenging or crisis situations.
• Perform additional security-related tasks and duties as needed.

Service Center and Mailroom

• Process all incoming and outgoing mail, overnight packages, and supply deliveries.
• Ensure the timely and accurate distribution of sensitive documents to staff, including invoices, correspondence, checks, and legal documents.
• Unpack, sort, and deliver supplies.
• Serve as a messenger/courier, bringing packages and mail to other Children's Aid sites and locations as needed.
