Location: New York

Responsibilities

  • Process high volume vendor invoices from invoice receipt through payment, ensuring appropriate approvals, coding to general ledger accounts and in compliance with company policies
  • Review all invoices to determine if use tax applies and calculate use tax accordingly
  • Maintain vendor data, including setup, bank verification, W-9 collection and 1099 status
  • Handle all vendor related issues and questions
  • Perform 3 way match for order related purchases
  • Process and enter all employee expense reports in accordance with company policy; audit submissions for receipt matching and business documentation; follow up with employees to resolve exceptions
  • Monitor and reconcile A/P aging; research and clear open items, credits, duplicate payments, and unapplied balances
  • Assist with weekly pay run
  • Support annual 1099 data collection and filing
  • Scan, organize and file all invoices electronically
  • Assist with various month end related tasks such as prepaid rent and vendor accruals
  • Assist with year-end audit and other ad hoc tasks
  • Manage AP inbox and provide responsive support to vendors and employees regarding invoice status, expense policy related questions and any other matters that arise
Qualifications
  • Associate or bachelor’s degree in accounting or finance preferred
  • 3+ years of accounts payable experience
  • Strong understanding of GAAP basics as applied to accounts payable, accruals and expense recognition
  • Excellent verbal and written communication skills
  • Strong analytical skills and attention to detail
  • Solid understanding of sales/use tax reporting and requirements
  • Proficient with Microsoft Office
  • Advanced Excel skills, including vlookups and pivot tables
  • Works well independently and collaboratively
