Accounts Payable Specialist - HVAC

Responsibilities

• Process a high volume of vendor and subcontractor invoices accurately and efficiently.
• Match invoices to purchase orders, work orders, and receiving documentation.
• Verify coding and allocate expenses to the appropriate jobs and cost codes.
• Prepare and process weekly check runs, ACH payments, and wire transfers.
• Reconcile vendor statements and resolve invoice discrepancies in a timely manner.
• Maintain accurate accounts payable records and vendor files.
• Track subcontractor insurance certificates, W-9s, and lien waivers as required.
• Communicate with project managers, vendors, and internal departments regarding payment inquiries.
• Assist with month-end closing, account reconciliations, and reporting.
• Ensure compliance with company policies and accounting procedures.

• 2+ years of accounts payable experience, preferably within the construction, HVAC, mechanical contracting, or related industry.
• Experience processing high-volume invoices.
• Knowledge of purchase orders, job costing, and subcontractor billing.
• Proficiency in Microsoft Excel.
• Strong attention to detail and organizational skills.
• Excellent communication and problem-solving abilities.
• Ability to prioritize multiple deadlines in a fast-paced environment.
