Our Client is a well-established, family-owned distributor of electronic components looking for an Accounting & Office Coordinator to join their team in Lynbrook, NY. This role combines accounts receivable and accounts payable responsibilities with day-to-day business operations, ideal for someone who enjoys variety and collaboration in a small business environment.

Key Responsibilities

Accounting

  • Manage the full accounts payable process—matching vendor invoices to purchase orders, processing ACH, wire, check, and credit card payments, and maintaining accurate records.
  • Manage accounts receivable—customer invoicing, payment application, collections follow-up, and daily cash activity.
  • Review invoices and purchase orders for accuracy, identify discrepancies before processing.
  • Maintain accurate financial records in Quick Books Online and the company’s ERP system.
  • Process returns and support other accounting-related activities as needed.
  • Work independently while collaborating with an outside bookkeeper who handles bank reconciliations to maintain appropriate accounting controls.

Office & Operations Support

  • Provide general administrative support across the office.
  • Assist the sales and purchasing teams with order entry, pricing updates, customer support, and other administrative tasks during busy periods.
  • Help receive larger product shipments by verifying quantities and assisting with inventory-related activities.
  • Support special projects and other operational needs as they arise.
  • Be a dependable team member who is willing to step in wherever help is needed.

Systems

  • Quick Books Online (experience required)
  • ERP system (training provided)
  • Chase, American Express, and JPMorgan Access
  • Paymentech
  • Amazon and eBay seller platforms
Qualifications
  • At least 2 years of hands-on Quick Books Online experience.
  • Experience managing both Accounts Payable and Accounts Receivable.
  • Exceptional attention to detail, able to identify discrepancies between purchase orders, invoices, and customer orders.
  • Strong organizational and time management skills.
  • Ability to work independently with minimal supervision.
  • A positive attitude and willingness to support different areas of the business.
  • Experience in bookkeeping, accounting support, or office accounting within a small business environment preferred.
Compensation & Schedule
  • Salary: $60,000 to $70,000 annual, based on experience.
  • Full-time, on-site position in Lynbrook, NY.
  • A four-day work week may be considered for an exceptional candidate.
