Hiring Objective
We are seeking a highly skilled Finance Associate to support the continued growth of the company in US & Canada, including expansion into new international markets (UK and Ireland).
The position is a full-time role based on a standard work week. The ideal candidate brings strong accounting fundamentals, strong payroll and related taxes knowledge, monthly reconciliations and closings experience.
Key Responsibilities Financial Reconciliations & Month‑End Close- Perform and manage bank and general ledger reconciliations.
- Assist with the monthly close process, including journal entries and variance review.
- Ensure accuracy and completeness of financial records in Quick Books.
- Support accounting processes related to prepaids and accruals.
- Bi‑Weekly Payroll Processing
- Canada & UK:
- Process payroll for internal employees and employee contractors using ADP and Deel.
- Handle regular pay, bonuses, commissions, and contractor time entries.
- Export benefits cost details from Empire Life and calculate employee payroll deductions, including Canada Life RRSP contributions.
- Administer UK pension contributions through NEST, including employee and employer contributions, uploads, reconciliations, and ongoing compliance.
- Onboard and terminate employees in payroll systems, including preparation and filing of Records of Employment (ROEs).
- United States:
- Process payroll for W2 contractors via Paycom.
- Administer 401(k) deductions and adjustments, including contribution changes, reconciliations, and payroll‑level corrections.
- Support onboarding and termination processes as required.
- Canada & UK:
- Maintain and manage the payroll inputs control file by compiling pay‑date data from approved time files or systems.
- Assist with payroll‑related reporting, reconciliations, research, and compliance across geographical jurisdictions.
- Invoice clients accurately and on time, including emailing or uploading invoices to client portals.
- Ensure corresponding client purchase orders are in place and follow up on invoice approvals and payments.
- Bill all approved consultant time into Quick Books.
- Fulfill special client requests such as monthly hours reports or annual spend summaries.
- Assist with managing company subscriptions and software license renewals.
- Tracking and accounting of subscription‑related costs, including prepaids and expense allocation, intercompany expense allocations and related foreign currency translations.
- Partner with the Controller and Director of Operations to ensure compliance with internal policies, external agencies, and monitor cost‑effectiveness of subscription usage.
- Provide general administrative and financial support to the Finance, and Operations teams including but not limited to consultant onboarding efforts.
- Assist with special projects, reporting, reconciliations, and process improvement initiatives.
Perform other duties and responsibilities that are reasonable and consistent with the position, as assigned from time to time by Botsford.
Desired Candidate Profile Education & Professional Designation- University or College degree/diploma in Accounting, Finance, or a related field is required.
- 2 - 4 years of relevant accounting and finance experience.
- Combination of public accounting and private industry experience preferred.
- Experience supporting payroll, month‑end close, reconciliations, and financial controls in a growing organization.
- Exposure to multi‑jurisdictional or international operations (Canada, U.S., UK) is an asset.
- Expert working knowledge of Microsoft Office, particularly Excel (required);
PowerPoint and Word proficiency expected. - Strong understanding of finance, GAAP accounting, and cost control principles.
- Experience with Quick Books and payroll platforms such as ADP and Paycom, or similar platforms is preferred.
- Strong analytical skills with a high level of thoroughness and attention to detail.
