We’re seeking an experienced Payroll Specialist to own end-to-end payroll operations across the U.S. and Canada. This is a part‑time position with a potential for flexibility on the working structure depending on experience and preference. This role is ideal for a highly detailed individual who thrives in multi‑country payroll environments and who enjoys being a trusted subject matter expert. You’ll work closely with Finance, People & Culture, external providers, and auditors to ensure operational excellence and seamless employee experience.
Aboutthe Role
As a fully qualified, journey‑level Payroll Specialist, you will process biweekly payroll, maintain compliance with all federal, state, and provincial regulations, audit and reconcile pay records, and serve as a liaison to employees, internal teams, and third‑party vendors. You will also coordinate payroll system upgrades, interpret pay policies, and support year‑end processes, benefits administration, and audits.
Key Responsibilities- Process biweekly payroll for salaried and hourly employees using ADP Workforce Now with accuracy and compliance. We currently have approximately 100 employees across both countries.
- Audit pay records, reconcile totals by department, location, and country; apply pay policies correctly (vacation, LOA, disability, government regulations).
- Prepare payroll journal entries, complete month‑end and year‑end reconciliations, and coordinate third‑party payroll system upgrades.
- Serve as primary payroll contact for employees and vendors; resolve discrepancies and respond to audit requests.
- Ensure compliance with U.S. federal/state and Canadian federal/provincial regulations; administer 401(k) and RRSP contributions and benefits.
- Document payroll processes, train staff, and back up specialized payroll functions as needed.
- 5+ years payroll experience with the U.S. and Canada.
- Expert in ADP Workforce Now.
- Strong knowledge of payroll regulations, benefits, reconciliations, and year‑end processes.
- Analytical, problem‑solving, and communication skills; able to advise senior partners on complex matters.
- Payroll certifications (PCP, CPM, FPC, CPP) or an accounting/finance background required.
